Fleet Maintenance & Transportation CoordinatorTexas-Based Interstate Fleet OperationWe are seeking a highly organized and proactive Fleet Maintenance & Transportation Coordinator to oversee the daily management, maintenance coordination, and operational support of a growing fleet operation consisting of 150+ vehicles and 15–20 interstate drivers.This role is responsible for helping ensure fleet reliability, DOT/FMCSA compliance support, preventative maintenance scheduling, driver coordination, and minimizing downtime across the operation. The ideal candidate must be able to stay organized in a fast-paced environment while communicating effectively with drivers, vendors, and internal departments.Key ResponsibilitiesCoordinate preventative maintenance schedules for fleet vehiclesAnalyzing and optimizing ongoing expenses of the vehicles, including fuel, insurance, and depreciationManage and track vehicle repairs, breakdowns, and service recordsSchedule and coordinate interstate driver assignments and coverageMonitor fleet readiness and vehicle uptimeMaintain organized DOT/FMCSA-related records and documentationAssist with Hours of Service (HOS) and ELD compliance oversightCoordinate annual inspections, registrations, permits, and licensing requirementsWork directly with vendors, repair facilities, and service providers to be able to negotiate and ensure the best rates on parts, fuel cards, and maintenance.Monitor driver concerns related to equipment and fleet issuesAssist with accident documentation and reporting proceduresHelp ensure compliance with company safety policies and FMCSA regulationsMaintain maintenance logs, PM schedules, and fleet tracking systemsCommunicate proactively with management regarding fleet status and operational concernsMust be able to mitigate4 liability through driver training, safety programs, and regular documented vehicle inspectionsQualificationsPrevious experience in fleet management, transportation coordination, dispatching, or trucking operationsStrong understanding of FMCSA and DOT regulationsFamiliarity with ELD systems and Hours of Service requirementsExperience coordinating preventative maintenance programsAbility to manage multiple priorities and urgent situations simultaneouslyStrong communication and organizational skillsProficiency with fleet management software, spreadsheets, and operational reportingExperience working with interstate commercial drivers preferredCDL knowledge or transportation industry background strongly preferredPreferred ExperienceExperience managing medium to large fleet operationsOSHA ComplianceUnderstanding of CSA scores and DOT audit preparationKnowledge of preventative maintenance scheduling systemsExperience working with outside repair vendors and maintenance providersAbility to build and improve fleet processes and accountability systemsWhat We Are Looking ForWe are looking for someone who is:Organized and detail-orientedCalm under pressureProactive instead of reactiveStrong with follow-through and accountabilityRespected by drivers and coworkersAble to communicate clearly and professionallyThis is not an entry-level dispatch position.
