Administrative Asst II

Brief Job Description Under the direct supervision of the HIV/STD Program Supervisor, the Administrative Assistant II (AA II) will perform general office responsibilities, including administrative, clerical, and technical tasks. The role involves answering telephones to provide information concerning STIs to the public; sorting and analyzing incoming STD laboratory reports; providing disease matching record searches and data entry of STD laboratory reactors into the TB, HIV, STD Integrated System (THISIS), and CMIS database. The AA II will build and explain HIV/STD state reporting guidelines and procedures to private and public healthcare agencies and help gather and organize surveillance data for regional, state, and federal reports. Responsibilities also include providing program support, maintaining program files and electronic resources, ensuring confidentiality, independent travel throughout Texas and out-of-state for outreach events, provider and lab visits, and participation in incident command structure during public health emergencies. The position is office-based, Monday‑Friday, 8:00 am – 5:00 pm. Essential Job Functions (EJFs) DATA MANAGEMENT (30%) – Review incoming STD laboratory and medical reports on gonorrhea and chlamydia, serve as a back‑up to the administrative assistant III to review & process syphilis reports, and enter data into GlobalScape, THISIS, and CMIS. Prioritize public health follow‑up cases, manage missing demographic and diagnostic information, and ensure accurate diagnostic status while adhering to CDC and local security rules. COMMUNITY ENGAGEMENT AND COMMUNICATION (30%) – Establish and maintain professional relationships with healthcare agencies, provide reporting schedules and documentation, conduct in‑person follow‑up visits with providers and laboratories, offer STI provider education, and work closely with state HIV/STD programs to ensure proper reporting and investigation of out‑of‑jurisdiction reactors. STRUCTURAL, ORGANIZATION AND SUPPORTIVE ACTIVITIES (30%) – Assist in planning, administration, and delivery of public health services, communicate with internal and external customers by telephone, email, letter, and fax, manage information requests, compose and edit program presentations, maintain orderly lab document filings, supervise the DSHS PHR2_3 HIVSTD inbox, review THISIS workflows, and provide support during community screening events. REGIONAL SUPPORT AND DISASTER RESPONSE/RECOVERY (10%) – Participate in regional assignments and special initiatives, be available for emergency response outside normal hours, sustain compliance with DSHS policy and fleet operations, maintain a valid Texas driver’s license, and travel statewide and out‑of‑state to fulfill essential duties. Knowledge, Skills And Abilities (KSAs) KNOWLEDGE OF office practices, federal, state, and local rules governing reporting and control of STDs, HIV, AIDS, CDC HIV/STD guidelines, testing, treatment and reporting guidelines, confidentiality laws and HIPAA. SKILL IN organizing and writing reports, data entry and word processing, maintaining accurate filing systems, building professional relations, and proficiency in Word, Access, Excel, Outlook, and PowerPoint. ABILITY TO maintain effective relationships with internal and external partners, work independently with sound judgment, manage time to meet deadlines, adhere to confidentiality guidelines, and influence medical professionals. Registrations, Licensure Requirements Or Certifications Must possess a valid Class C Texas driver’s license (or equivalent) with an acceptable driving record. Initial Screening Criteria One year of experience with data and spreadsheet management in public health, community-based work, population-based initiatives or community coalition programs. Graduation from high school or equivalent; an associate degree with major coursework in public health or a related field is preferred. Documented computer experience with Microsoft Office products (Excel, Outlook, Teams, etc.). Ability to independently travel 10% of the time to complete essential job functions. #J-18808-Ljbffr
