Job Opening: Facilities Specialist

Location: San Diego, CA 92111

Pay Rate: $18–$19 per hour (W-2)

Duration: 6-Month Contract

Position Overview

We are seeking a detail-oriented and organized Facilities Specialist to support day-to-day facilities operations, vendor account management, invoice processing, office maintenance coordination, and mailroom activities. This role is ideal for a proactive professional with strong organizational and customer service skills who can manage multiple responsibilities in a fast-paced, deadline-driven environment.

Key Responsibilities

• Vendor Account Management: Set up, update, and deactivate user accounts for Staples and FedEx. Review orders to ensure purchases are business-related or pre-approved by IT.
• Invoice Processing: Process invoices for Staples, Shred-It, and other vendors supporting branch operations, corporate maintenance, and repairs.
• Facilities Maintenance: Coordinate with landlords to resolve maintenance issues involving heating, air conditioning, restrooms, breakrooms, and other office facilities.
• Access Management: Issue and deactivate employee access cards and maintain accurate records of access cards and gym forms.
• Mailroom Operations: Process outgoing mail requests from multiple departments and ensure timely delivery within established deadlines.
• Office Supply Management: Order and maintain supplies for the corporate office, including breakroom essentials, paper, envelopes, and other materials.
• Mail Handling: Sort and distribute incoming and outgoing mail, ensuring accurate and timely delivery.
• Postal Services: Transport oversized and certified mail to the post office daily.
• Additional Support: Perform other administrative, facilities-related duties and special projects as assigned.

Required Qualifications

• High school diploma or equivalent.
• Strong organizational skills and attention to detail.
• Ability to work effectively in a fast-paced, deadline-driven environment.
• Excellent verbal and written communication skills.
• Strong customer service, interpersonal, and problem-solving abilities.
• Proficiency in Microsoft Office Suite, including Word and Excel, collaborative cloud-based platforms, wikis, and third-party software applications.
• Ability to manage multiple tasks while maintaining accuracy and meeting deadlines.

Preferred Qualifications

• Previous experience preparing certified mail.
• Experience supporting facilities operations, office administration, vendor coordination, or mailroom functions.
