About the Role We are seeking a reliable, organized, and professional Administrative Operations Coordinator to support our growing healthcare agency. This role is ideal for someone who thrives in a fast-paced environment, enjoys staying organized, and takes pride in being the person who keeps everything running smoothly. You will serve as the central hub of the office—supporting phones, administrative operations, and scheduling coordination. Schedule (Part-Time Split Shift) We are hiring for part-time shifts: * Morning Shift: 8:00 AM – 12:30 PM * Afternoon Shift: 12:30 PM – 5:00 PM What You’ll Do Front Desk & Phones * Answer incoming calls with professionalism and compassion * Route calls and take accurate messages * Greet clients, caregivers, and visitors Scheduling Support * Assist with caregiver/client scheduling needs * Provide backup support when scheduling gaps arise * Communicate schedule updates clearly Administrative Support * Prepare folders for clients, marketing, and recruiting * Track and complete daily administrative tasks * Coordinate meeting notes and follow-ups * Maintain office supplies and organization * Assist with mail, deliveries, and office coordination What We’re Looking For * Strong communication and phone skills * Highly organized and detail-oriented * Ability to multitask and stay calm under pressure * Reliable and consistent attendance * Positive attitude and team-oriented mindset * Comfortable using computers and office systems * Experience with ClearCare (WellSky) or similar software is a plus.
