Order Management Administrator

Position OverviewThe Order Management Administrator is responsible for entering and maintaining projects, sales orders, and change orders while verifying item cost accuracy. This role maintains customer and item records, vendor pricing, and bills of material within the company’s ERP system.As a key support partner to Account Executives and project teams, the Order Management Administrator keeps order information accurate, documentation organized, and transactions moving through established workflows while providing excellent service to internal and external customers.This is an opportunity for an organized, detail-oriented professional who enjoys working with systems, managing multiple priorities, and supporting successful project delivery.Skills & Core StrengthsSales order processing and accuracyERP systems and record maintenanceMicrosoft Excel and data organizationCustomer and item master setupBill of material creation and maintenanceCost verification and discrepancy identificationProject and sales order documentationCustomer service and team collaborationTime management and problem-solvingWhat You’ll DoEnter and maintain a high volume of projects, sales orders, and change orders in the ERP systemReview orders for completeness and accuracy, verify item costs, and communicate discrepancies to Account Executives and project teamsProvide order entry support according to department workflows and prioritiesCreate and maintain bills of material in the ERP systemCreate and maintain item master and customer master recordsMaintain vendor price lists to support accurate order processingOrganize and maintain supporting project and sales order documentsComplete and distribute standardized credit limit request formsProvide occasional reception coverage, including answering phones and greeting guestsFollow company safety standards and attend required trainingPerform other administrative and operational support duties as assignedWhat We’re Looking ForRequired QualificationsHigh school diploma or GEDExperience entering and maintaining sales orders in an enterprise resource planning (ERP) systemProficiency in Microsoft Excel, including data entry, spreadsheet formatting, sorting and filtering, and basic formulasProficiency with Microsoft Windows, other Microsoft Office applications, and PDF editing softwareStrong written and verbal communication skillsStrong organizational skills and attention to detailStrong customer service and problem-solving skillsAbility to manage multiple projects and priorities, meet deadlines, and work with limited supervisionAbility to remain calm and professional in stressful situationsPreferred QualificationsAssociate degreeFour or more years of experience in administration, customer service, sales support, or a similar roleFamiliarity with CRM softwareAbout UsAvidex is a leading AV/IT integration company delivering innovative technology solutions across corporate, healthcare, education, and enterprise environments.
