Payroll Assistant

The Payroll Assistant provides critical support in processing payroll and assisting with daily human resources operations. This role is responsible for preparing and processing employee payroll accurately and on time, maintaining payroll records, and ensuring compliance with applicable laws and company policies. The Payroll Assistant also serves as a point of contact for employee payroll inquiries, offering timely and professional assistance. The ideal candidate is detail-oriented, highly organized, and capable of handling sensitive information with a high degree of confidentiality and discretion.

Key Responsibilities:

• Processes district payroll in accordance with district policy and state and federal wage and hour laws.
• Enters, reviews and processes payroll data for District employees consistent with federal and state wage and hour laws.
• Maintains accurate and up-to-date employee and payroll records, including Skyward Org Chart.
• Assists in the preparation, verification, and distribution of payroll to ensure timely and accurate payment.
• Reviews payroll registers and reports to identify and correct discrepancies before payroll is finalized.
• Processes payroll including reconciling and issuing check/ACH payments.
• Ensures correct tax withholdings for federal and state obligations.
• Applies payroll deductions in accordance with federal, state, and local regulations, including both voluntary and involuntary deductions.
• Collaborates with the Payroll Specialist to import and verify bi-monthly payroll files.
• Communicates effectively with HR, Finance, school sites, employees, and other departments, responding promptly to questions and concerns.
• Provides support to payroll functions through the district True time/Time off system: Ensures accurate pay records, and proper entry of new employees into the timekeeping system.
• Assists in training staff on correct procedures for using the True time/ Time off system and selecting appropriate account codes, and pay codes.
• Reviews and prepares time entries for payroll processing, making necessary corrections to ensure accuracy.
• Verifies that all required new hire documentation is received and properly filed.
• Completes reporting functions in accordance with district policy and state and federal regulations.
• Prepares various reports for federal and state agencies and school district personnel.
• Provides support to the reporting of the Affordable Care Act (ACA) per federal regulation.
• Provides support to the human resources office functions as assigned, including but not limited to: Potential applicants, new hire, onboarding process and Benefit/Leave process as needed.
• General administrative/clerical support
• Prepares correspondence including memos, reports, agendas, and documents.
• Assists with projects
• Create payroll employee files; file timesheets and other payroll related documents.

Requirements:

• Associate's or bachelor's degree in accounting, finance, or minimum of 3 years of related field experience.
• Previous experience in a Skyward/PaC, payroll or administrative role is an advantage.
• Familiarity with Public School District payroll practices.
• Fundamental knowledge of office organization, records retention and records management principles and practices.
• Clear understanding of Labor Agreements with different employee groups.
• Basic understanding of payroll and tax laws.
• Excellent numerical and data entry skills.
• Strong organizational and time management abilities.
• Strong attention to detail and high level of accuracy in data entry.
• Highly self-motivated with the ability to take initiative and work independently.
• Demonstrates strong judgment in identifying urgent tasks and responding promptly without being prompted.
• Proactive in managing workload and capable of directing their own daily activities with minimal supervision.
• Strong multitasking skills with the ability to prioritize tasks effectively in a dynamic environment.
• Resourceful and solution-oriented, with a willingness to take ownership of responsibilities and follow through to completion.
• Preferred Skills: Knowledge of Microsoft Excel, Google Suites and other office software. Good communication and interpersonal skills. Ability to work independently and collaboratively in a team. Customer service orientation.
