Jacqui Ford Law is one of Oklahoma City's most respected criminal defense firms, known for fierce advocacy in the courtroom and genuine compassion outside it. We are seeking a Client Intake Specialist to be the first voice of our firm.

When the phone rings, the person on the other end is often facing the most frightening moment of their life. Before they ever meet their attorney, they meet you: calm, steady, and genuinely on their side. You set the tone for everything that follows, helping a frightened person understand that they have reached a team that will fight for them, and that they are not facing this alone.

Compensation:

$15 - $18 hourly

Responsibilities:

What You'll Do:

First Contact & Client Intake

  • Answer incoming calls and serve as the welcoming first point of contact for new and prospective clients.
  • Conduct confidential, compassionate intake interviews, listening carefully and capturing each caller's story and needs.
  • Guide clients through onboarding, providing updates, answering questions, and gathering the information the legal team needs.
  • Direct calls, take messages, and respond to inquiries promptly and professionally.

Scheduling & Coordination

  • Schedule consultations and client appointments and coordinate meetings with the legal team.
  • Organize internal meetings, prepare agendas, and take meeting minutes.

Administrative Support

  • Prepare and edit documents, including correspondence, reports, memos, and emails.
  • Process and route incoming mail for the legal team.
  • Provide day-to-day administrative support to attorneys and staff.

Tracking & Reporting

  • Keep firm databases, reports, and spreadsheets accurate and current.
  • Track calls, qualified leads, scheduled consultations, referral sources, and key performance metrics.

Qualifications:

What We're Looking For:

  • One to three years of experience in administrative and customer service roles, ideally within a law firm or another client-centered environment.
  • Excellent communication skills, with the ability to listen actively, build rapport, and engage professionally and compassionately with people from every background.
  • Strong organizational skills, with the ability to manage multiple intakes at once, prioritize effectively, and handle confidential information with discretion.
  • Comfort with CRM or case management systems, or the eagerness to learn new technology quickly.
  • High attention to detail and accuracy in data entry, documentation, and client communication.
  • The composure to stay calm under pressure and the empathy to handle difficult, emotional conversations with professionalism.
  • A collaborative, team-oriented attitude and a genuine passion for exceptional client service.
  • A self-starter mindset, with initiative and strong problem-solving instincts.
