Bilingual Executive Assistant - State Farm Team Member

Position Overview

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide high-level administrative support to executive leadership. This role is critical to keeping operations running smoothly, managing priorities, and ensuring the executive can focus on strategic initiatives. The ideal candidate is a strong communicator, problem-solver, and trusted partner who thrives in a fast-paced environment.

Key Responsibilities

• Answering phones and helping customers
• Manage executive calendars, email, social media, appointments, meetings, and travel arrangements
• Prepare, edit, and organize correspondence, reports, presentations, and meeting materials
• Coordinate meetings, take accurate notes, and follow up on action items
• Handle confidential and sensitive information with professionalism and discretion
• Assist with project coordination, deadlines, and task tracking
• Organize files, systems, and processes to improve efficiency
• Support onboarding, scheduling, and communication across teams as needed
• Anticipate executive needs and proactively resolve issues before they arise

Qualifications

• Bilingual Spanish and English required
• Coachable - Open to feedback, eager to learn, and able to apply training quickly in a real agency environment.
• Flexible & Solutions-Oriented - Able to adjust quickly, stay organized, and handle changing priorities in a fast-paced agency environment.
• Preferred proven experience as an Executive Assistant, Administrative Assistant, or similar role
• Exceptional organizational and time-management skills
• Strong written and verbal communication abilities
• High attention to detail and ability to multitask effectively
• Proficiency in Microsoft Office, Google Workspace, and scheduling tools
• Ability to work independently and prioritize competing demands
• Professional demeanor with strong interpersonal skills
• Able to build rapport quickly with co-workers and clients

Compensation - $18 - $20 per hour

Compensation includes a performance-based commission structure. Additional compensation details can be discussed during the interview process.
