Sales Operations Specialist Americas

About the role

RENPHO is seeking a bilingual Sales Operations Specialist to provide centralized operational support for our sales business across the Americas, including the United States and South America.

Based at our Eastvale warehouse location, this person will connect the Americas sales team with colleagues in China and our warehouse, customer service, finance, and supply chain teams. The role keeps customer requirements, product information, orders, inventory status, and delivery timelines accurate and actionable.

We are looking for someone who understands how physical products move from available inventory through order processing, warehouse fulfillment, and customer delivery. You will learn RENPHO's internal systems, clarify requirements in English and Mandarin Chinese, and turn them into clear next steps for the sales team and internal partners.

Responsibilities:

China and Americas coordination

• Serve as a central operational contact for the Americas sales team and colleagues in China.
• Use English and Mandarin Chinese to clarify customer requirements, internal processes, order status, and outstanding decisions.
• Learn company systems and workflows; help salespeople understand required inputs, approval steps, timelines, and dependencies.
• Turn requests and meetings into clear actions, owners, and deadlines, following up through completion.
• Raise unresolved issues with a concise explanation of the customer impact and the decision needed.

Orders, inventory, and fulfillment coordination

• Maintain visibility into customer purchase orders, processing status, inventory availability, warehouse readiness, and delivery commitments.
• Work with warehouse and supply chain teams to confirm stock availability, inbound timing, order release requirements, and expected fulfillment dates before commitments are made to customers.
• Understand customer receiving requirements, shipping windows, delivery appointments, and documentation needs; coordinate with the teams responsible for execution.
• Track backorders, inventory discrepancies, delayed receipts, shipment exceptions, and proof of delivery, keeping salespeople informed of changes affecting customers.
• Coordinate product samples and support resolution of returns, shortages, and other order issues.

Customer and account operations

• Support national and regional retailers, distributors, marketplace partners, and other B2B customers across the Americas.
• Coordinate customer onboarding, account documentation, product setup, and routine customer requests.
• Maintain accurate customer, product, approved pricing, and order records in company systems.
• Gather product specifications, UPCs/GTINs, case packs, dimensions, and other information needed for account setup and fulfillment.
• Support finance with invoice discrepancies, deductions, and payment questions by gathering records and coordinating follow-up.
• Maintain current price lists and product availability information; assist with routine quotations and customer materials using approved inputs.

Reporting and process improvement

• Prepare regular reports on sales, open orders, inventory constraints, upcoming commitments, and unresolved issues.
• Reconcile information across sales and operational systems and investigate discrepancies with the appropriate owners.
• Maintain practical procedures and trackers that improve handoffs between sales, China teams, and warehouses.
• Identify recurring delays or missing information and recommend improvements.

Qualifications:

• Professional working proficiency in English and Mandarin Chinese, including speaking, reading, and writing for day-to-day business coordination.
• 3-5 years of experience in sales operations, order management, customer operations, or sales support within a business selling physical products.
• Working understanding of purchase orders, inventory availability, warehouse fulfillment, and customer delivery timelines.
• Experience coordinating with warehouses, supply chain teams, or distribution operations.
• Strong Excel skills and experience working with ERP, order management, CRM, or inventory systems.
• Ability to learn internal processes and explain them clearly to salespeople and other stakeholders.
• Strong organization, attention to detail, and follow-through across multiple accounts and deadlines.
• Practical judgment about what can be resolved independently and what requires approval or escalation.
• Ability to work on site and participate in scheduled coordination with China-based colleagues across time zones.

Preferred experience

• Supporting retailers, distributors, or ecommerce marketplace accounts.
• Consumer electronics, wellness products, manufacturing, import/distribution, or other physical consumer goods.
• Working with China-based headquarters or operations teams.
• Customer receiving requirements, EDI orders, retailer portals, or warehouse management systems.
• Supporting sales or customer operations in Latin America.
• Bachelor's degree in business or a related field, or equivalent practical experience.
