Senior Program Coordinator

Rutgers University–Newark (RU‑N), an urban public research university, is seeking a Senior Program Coordinator. This role serves as a vital member of the RU‑N Student Accounting, Billing, Payment Center, and RUID Services team. The Business Services Office at RU‑N supports student success by delivering high‑quality, student‑centered services related to billing, payment plans, term bill management, collections, cashiering, and RUID card processing. The Senior Program Coordinator reports to the Assistant Vice Chancellor for Budget and Financial Planning within the Office of the Chancellor. Responsibilities Deliver high-quality, student-centered support for tuition, fees, registration holds, billing, payments, refunds, and identity card services. Maintain accurate student financial records, process timely account adjustments, and ensure consistent service delivery across multiple touchpoints. Use independent judgment and expert knowledge of university systems and policies to counsel students and families on financial obligations. Assist with complex student account issues and collaborate with Financial Aid, Registrar, Housing, Dining, and Veterans Services. Support specialized billing scenarios (third‑party billing, veteran benefits, tuition remission, summer/winter sessions, unemployment tuition waivers). Accept and process in‑person tuition payments, departmental deposits, and other financial transactions. Maintain and reconcile a cash drawer, troubleshoot discrepancies, and ensure accurate general ledger reporting. Assist students with online payment systems, installment plans, and refund eligibility. Oversee issuance and replacement of Rutgers ID cards for students, faculty, and staff; validate eligibility, operate card production equipment, troubleshoot technical issues, and coordinate with IT, Housing, Dining, and Campus Safety. Serve as a front‑line escalation resource for high‑level inquiries related to billing, holds, payments, and ID services; provide daily support via walk‑ins, appointments, virtual platforms, and email inquiries. Contribute to departmental and cross‑functional projects, including self‑appraisal evaluations, service delivery enhancements, website and communication updates, and training initiatives. Demonstrate strong problem‑solving ability, customer service orientation, and commitment to student success; utilize advanced technical, analytical, and communication skills in a fast‑paced and evolving environment. Qualifications Bachelor’s degree in a related field, or equivalent combination of education and/or experience that demonstrates knowledge of office administration, work organization, coordination, facilitation, bookkeeping, and/or report writing principles and practices. Minimum of two years relevant experience in a program coordination or administrative function that includes coordination of work and management of people; good communication skills; and computer literacy. Sensitive to cultural diversity and ability to communicate and interact effectively with people of all ages and diverse backgrounds. Proven ability to work effectively as a team member. Ability to analyze and interpret data and make independent decisions. Ability to use good judgement when auditing student records to determine if refunds or additional billing is necessary. Must be able to attend student financial aid, student accounting, and registrar functions off campus and work weekends/evenings as required. Highly motivated, focused, and results oriented. Ability to meet expectations in a fast‑paced and dynamic customer‑oriented environment. Preferred Qualifications Two or more years of experience in student services environment. Experience within higher education student services. Experience with general ledger reconciliation, Title IV compliance, and financial policy adherence. Knowledge of Rutgers University systems, including Oracle Cloud Financial Management System, Tableau, Salesforce (CRM), IMS, NSLDS, E-Administrator (HESAA), ImageNow, and Microsoft Office. Experience with ID card printer and IDMS system.
