Administrative Assistant (Part-time)

Rate: $30–$32/hr
Overview
We're looking for a proactive Administrative Assistant to support our Manager and day-to-day operations of two offices. This role requires someone comfortable managing shifting priorities, handling confidential information with discretion, and traveling regularly between both locations as needed.
Key Responsibilities Manage calendaring, scheduling, correspondence, and daily priorities for the Manager.
Draft and proofread emails, memos, reports, presentations, and other business correspondence.
Handle front-office duties: mail, filing, phones, and ordering/tracking office supplies and equipment.
Greet clients and vendors and coordinate visitor access.
Serve as a point of contact between vendors/building staff and the organization, including routing maintenance requests and light property management tasks.
Process invoices and track expenses.
Schedule and confirm appointments, meetings, and travel arrangements.
Organize and execute company events, meetings, and conferences (onsite and offsite) from planning through completion.
Assist with special projects and research as assigned.
Maintain organized digital and physical filing systems.
Handle tasks proactively and follow through on projects to completion; run errands as needed.
Maintain confidentiality of sensitive business and personnel information at all times.
Travel between the two San Francisco/Bay Area locations as needed to support both sites.
Perform other general administrative duties as assigned.
Schedule & Location Part-time, approximately 20 hours/week (4 hours/day)
On-site position requiring regular travel between two locations in the Bay Area
Schedule coordinated with the Manager based on business needs
Reliable transportation required
Experience & Skills Required Strong organizational skills, attention to detail, and a team-player mindset
At least 2 years of experience in an operations setting and/or as an Executive Assistant
Intermediate+ proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Excellent written and verbal communication skills
Ability to manage multiple priorities and meet deadlines in a fast-paced environment
Professional demeanor and discretion when handling confidential information
Associate's degree from an accredited institution, or equivalent work experience, preferred
