Grants Administrator, General Internal Medicine

Site: The Brigham and Women's Hospital, Inc. Job Summary Manages the grant‑related activity of an assigned portfolio of clinicians and investigators. Provides guidance, resolves issues, and assists with the research proposal submission and application process. Responsible for budget development assistance, interpretation of sponsor requirements, and ensuring that proposals meet sponsor and institutional guidelines and regulations. The role also includes full lifecycle grant administration: proposal development, submission, award management, financial and compliance monitoring, and closeout. Key Responsibilities Oversee all aspects of the grant application process, including evaluation of program announcements, budget development, required documentation, and timely submission. Serve as primary contact for collaborating sites regarding subcontract budgets and required materials throughout the award life‑cycle. Provide budget and subcontract monitoring, prepare financial reports, and meet with investigators regularly. Assist investigators with progress reports, using systems to obtain information and ensuring compliance with all guidelines. Facilitate the implementation of industry grants and contracts, clinical trials, billing agreements, material transfer agreements, data use agreements, and other agreements as needed. Lead salary and effort management for assigned investigators, using DGIM templates and submitting salary distribution changes in the WorkDay system. Assist with bi‑annual investigator time and effort certification. Serve as liaison among investigators, MGB Research Management, and sponsors. Understand and adhere to sponsor, institutional, and federal regulations, attending required trainings and staying current on policy changes. Help design, refine, and implement workflows and processes to optimize resource utilization and operational efficiency. Qualifications Bachelor’s degree preferred; an advanced degree or CRA (Certified Research Administrator) credential is a plus. 2–3+ years of experience in research administration. Strong knowledge of federal regulations (NIH, NSF, DoD, DOE, etc.) and Uniform Guidance. Proficiency in Microsoft Excel, Word, Adobe, and willingness to learn new applications and systems. Proficiency with grant management systems such as eRA Commons, Research.gov, ASSIST, SciENcv, and Proposal Central. Competencies Exceptional attention to detail, strong analytical and organizational skills. Ability to create accurate and compliant budgets. Strong communication, organizational, and problem‑solving skills. Positive customer‑service orientation and professional interpersonal skills. Ability to make independent judgments and resolve problems. Ability to manage multiple deadlines and reprioritize as needed. Willingness to take on new challenges and openness to change. Additional Job Details Availability to work in person 2 days per week; occasional hours outside the standard workday may be required around grant submission and reporting deadlines.
