Dental Practice Manager

CORE MANDATE
Oversee administrative, operational, and financial functions of integrated dental services to ensure smooth daily operations, regulatory compliance, financial sustainability, and high-quality patient care (p. 1).
KEY RESPONSIBILITIES
1. Department Leadership & Operations

Function as administrative manager and operations leader
Coordinate compliance with HRSA, CDC, OSHA, and the Pennsylvania Dental Practice Act.
Conduct on-site mock inspections and implement corrective measures.
Monitor operational productivity and establish workflows to decrease costs .
Guide strategic planning, resource allocation, and operational policy enforcement .

2. Daily Office & Staff Management

Lead daily huddles and manage staff scheduling, punctuality, and time-off coverage
Provide backup front-desk reception support when staffing levels are low
Order office supplies and approve clinical supply inventory requests.
Oversee departmental cleanliness and ensure a safe working environment.
Manage IT needs by submitting tech tickets and managing clinical system access.
Submit property management work orders for building maintenance.

3. Financial Sustainability & Revenue Cycle

Partner with Revenue Cycle Management to optimize coding, billing, and collections .
Maintain knowledge of accepted insurance fee schedules and recommend new payers
Train reception staff on procedural eligibility, fee structures, and frequency limits
Manage consistent patient insurance eligibility and financial liability checks.
Execute uniform sliding fee assessments for uninsured or underinsured patients
Enforce No Surprises Act compliance so patients understand owed fees
Process invoices for dental lab work, clinic supplies, and employee expenses

4. Patient Care & Front Office Oversight

Manage multi-provider schedules for dentists, residents, and dental students.
Mitigate patient no-shows and coordinate triaging for dental emergencies.
Handle patient record requests per HIPAA and state regulations.
Document and resolve patient complaints to maintain service excellence
De-escalate agitated visitors and manage patient behavioral contracts or discharges.

5. Clinical Workflow & Administrative Oversight

Manage the end-to-end dental preauthorization and clinical referral tracking process
Complete non-covered services disclosure forms for insured patients
Track dental lab cases to ensure timely delivery before patient appointments..
Ensure all patient paperwork is scanned into charts rapidly

6. Team Development & HR

Recruit, interview, hire, orient, and train dental front desk staff
Set performance goals, conduct progress reviews, and execute evaluations
Oversee the Dental Assistant Supervisor to support Dental Assistants and EFDAs
Manage conflicts, implement disciplinary actions, and coordinate with HR
Lead monthly dental team meetings and review/approve departmental payroll

7. Partnerships & Community Integration

Secure staffing partnerships with temp agencies and dental assistant schools.
Manage administrative supervision and orientation for students, interns, and volunteers.
Coordinate external vendors for laundry, lab pickups, and technical maintenance.
Build relationships with community organizations to promote outreach services
Streamline bidirectional patient referrals with medical and behavioral health teams
Serve on the Quality Committee to execute quality projects (PDSA cycles)
