Contract Coordinator II

The Contract Coordinator II will support the creation, negotiation, execution, and administration of consulting and promotional speaker contracts within a highly regulated environment. This role requires strong contract management, customer service, stakeholder communication, and organizational skills while managing high-volume and complex contract portfolios. The position partners closely with Legal, Compliance, Procurement, Finance, Marketing, and other cross-functional teams.

Key Responsibilities

• Create, negotiate, process, and execute consulting and promotional speaker agreements within established timelines and compliance requirements.
• Review and interpret contractual language and independently process standard contractual documentation while escalating complex agreements when necessary.
• Manage high volumes of contracts and complex contract portfolios while balancing competing priorities and deadlines.
• Maintain contracting documentation, files, and records in accordance with established policies and procedures.
• Partner with Legal, Compliance, Procurement, Finance, Marketing, Commercial Operations, Medical Affairs, and other cross-functional stakeholders.
• Develop and maintain strong relationships with internal stakeholders, external consultants, speakers, institutions, and other business partners.
• Identify opportunities to improve and standardize contracting practices and support continuous process improvement.
• Support contract negotiations and proactively manage contracts, stakeholders, and consultants through effective anticipation, resolution, and communication.
• Maintain strong organization and attention to detail while effectively managing multiple priorities in a fast-paced environment.
• Deliver customer service-focused outcomes through empathy, active listening, emotional intelligence, time management, and problem-solving.

Required Qualifications

• Associate degree, bachelor's degree, paralegal certification, or equivalent relevant experience preferred.
• Three to five years of experience processing high volumes of contracts and managing complex contract portfolios.
• Experience working within a highly regulated industry.
• Experience reviewing and interpreting contractual language and exercising independent judgment regarding escalation.
• Experience with contract negotiation, legal operations, project management, or contracting.
• Experience partnering with Legal, Compliance, Procurement, Finance, Marketing, and other cross-functional business teams.
• Strong verbal and written communication, presentation, interpersonal, and customer service skills.
• Excellent organizational skills, attention to detail, and ability to manage multiple stakeholders throughout the contract lifecycle.
• Ability to work independently, manage competing priorities, and maintain accountability in a fast-paced environment.
• Proficiency with MS Word, Excel, Outlook, Teams, SmartSheet, Adobe Sign, Adobe Acrobat, and contract lifecycle management systems.

Preferred Qualifications

• Experience managing consulting or promotional speaker contracts.
• Experience with contract lifecycle management systems.
• Experience with procurement and contract management tools.
• Strong negotiation, problem-solving, and business process skills.
• Relevant contracting experience within a regulated environment.

Pay Range: $30/hr to $35/hr
