Located in Largo, close to the heart of Prince George’s County, UM Capital Region Medical Center is a new state‑of‑the‑art regional medical center that will provide improved access to primary and ambulatory care services and serve as a tertiary care center for critically ill patients. The facility is poised to expand its community partnership to help enhance the health status of Prince George’s County residents. Position Title Unit Clerk, Emergency Department (Part‑time / Day‑shift, two shifts per week; 7:30 am–4:00 pm) Position Summary Provides clerical support to the emergency department nursing unit, including assembling and maintaining patient charts, scheduling diagnostic procedures, completing admission/transfer/discharge forms, greeting visitors, answering the telephone, relaying calls and messages, and supplying routine information. The incumbent is scheduled to work less than 1,000 hours per year. Principal Duties Maintain supplies, forms, and equipment at appropriate cost‑containing levels. Prioritize work activities based on changing unit needs. Identify unit or patient problems that may impede effectiveness and report them to the appropriate person or department. Demonstrate teamwork by performing other duties as requested. Plan and organize clerical work; complete duties within the required timeframe and provide concise reports to relief staff. Assist in coordinating patient care activities by paging team members, informing staff of scheduled tests and procedures, and running errands as needed. Coordinate patient movement by keeping charge nurses and staff informed of admissions, transfers, and discharges; coordinate movement with other departments when appropriate. Maintain patient charts, including preparation for new admission, filing diagnostic reports, copying charts for transfers, tearing down discharge charts, and graphing vitals and other pertinent data. Operate the computer accurately and promptly for order entry, data retrieval, charge entry, and problem solving; ask questions if orders are not routine or clear. Transcribe and process physicians’ orders to computer, MAR, and Kardex efficiently and sign off transcription per policy. Keep the work environment orderly and business‑like; maintain filing systems; order supplies, equipment, and forms; send equipment for repair; maintain unit statistics such as admission/discharge logs and monthly census reports. Customer Service Greet customers in a courteous, friendly, respectful, and professional manner. Follow communication protocols to internal and external customers, introducing yourself with job title and experience and using open‑ended questions. Respond promptly and appropriately to customer questions, concerns, and complaints; resolve issues immediately when possible. Keep customer information confidential. Offer assistance and direct customers to other staff when unable to fulfill a request; explain that the new staff member will provide service. Commit to excellent service recovery when expectations are not met. Commitment to Co‑Workers Offer assistance to colleagues and other departments when needed. Treat problems solving with responsibility, meet deadlines, and respect others’ time. Resolve conflict directly and seek help when needed; avoid criticism in public. Ensure timely attendance at meetings and communicate absences. Provide status reports to co‑workers when planning absence or off‑unit time. Communication Etiquette Maintain respectful, courteous, and professional communication; follow facility service protocols. Refrain from using personal cell phones in patient care areas; minimize use during duty elsewhere. Avoid texting or email during meetings unless essential. Keep business phone to voicemail during meetings; remain on vibrate if necessary. Answer the telephone within three rings, introduce yourself, and obtain permission before placing a caller on hold. Maintain an appropriate voicemail message; set out‑of‑office email when away. Return email and voicemail promptly, within one business day (24 hours). Self‑Management Arrive in appropriate attire under hospital dress code and wear a visible identification badge. Complete all assignments by deadlines or negotiate alternatives as necessary. Fulfill mandatory annual education and competency requirements. Adhere to safety, infection control and employee health standards. Show responsibility for personal growth and professional competency. Follow all hospital and departmental policies, including attendance and sick‑absence guidelines. Read and sign the confidentiality statement. Qualifications Work Experience: 1–3 years as a Unit Clerk or Office Manager in a healthcare setting or equivalent. Entry level education and knowledge. Additional training in computer skills and customer service principles is preferred. Proficiency with Microsoft Office Suite (Word and Excel – basic). PowerPoint and Access – not applicable. Basic knowledge and working experience with medical terminology. Clear, concise documentation with legible penmanship. Preferred: Bilingual communication. Working Conditions Lifting/carrying 11–20 lbs; reaching, grasping, and using a keyboard. Proofreading and reviewing documents. Sitting for extended periods. Verbal communication and hearing required.
