Facilities Manager - Temporary Assignment

MalaceHR is seeking an experienced Facilities Manager to support facility operations in Irving TX on a temporary basis to provide maternity leave coverage through at least January 2027.

The Facilities Manager will be responsible for overseeing day-to-day facility operations managing vendor relationships coordinating maintenance activities and ensuring exceptional service delivery for our client. This position requires a strong leader with experience in facilities management budget oversight capital projects and client relationship management.

The ideal candidate is a self-motivated professional who can quickly transition into the role independently manage facility operations and maintain high standards of operational efficiency and customer service.

Key Responsibilities

Facilities Operations & Maintenance

• Oversee daily facility operations to ensure a safe efficient and well-maintained environment.

• Manage preventive and corrective maintenance programs for building systems and infrastructure.

• Coordinate repairs maintenance activities and facility improvements to minimize operational disruptions.

• Ensure compliance with applicable safety regulations building codes and company policies.

• Identify opportunities to improve operational efficiency reduce expenses and enhance facility performance.

Vendor & Contractor Management

• Manage relationships with third-party vendors contractors and service providers.

• Oversee vendor performance to ensure service-level agreements and operational standards are consistently met.

• Coordinate vendor schedules maintenance projects and service requests.

• Review vendor proposals contracts and associated expenses.

• Ensure work is completed on time within budget and according to established quality standards.

Financial & Budget Management

• Develop monitor and manage operating and capital expense budgets.

• Track facility expenditures identify cost-saving opportunities and maintain financial accountability.

• Prepare monthly financial reports forecasts and operational updates.

• Assist with annual budget planning and capital improvement initiatives.

• Manage smaller capital improvement projects from planning through completion.

Client Relations & Team Leadership

• Serve as a primary point of contact for clients regarding facility operations and service delivery.

• Maintain strong client relationships through proactive communication and timely issue resolution.

• Coordinate and provide direction to maintenance personnel skilled trades and service providers.

• Ensure high levels of customer satisfaction and responsiveness to facility-related requests.

• Collaborate with internal teams and stakeholders to support business objectives.

• Address operational challenges and make effective decisions in time-sensitive situations.

Required Qualifications

• Bachelors degree or equivalent combination of education and relevant professional experience.

• Minimum of 5 years of experience in facilities management property management or a related field.

• Proven experience overseeing facility operations maintenance programs and vendor relationships.

• Strong leadership and people management skills.

• Experience managing operating budgets financial reporting and small capital projects.

• Demonstrated ability to build and maintain professional client relationships.

• Proficiency in Microsoft Excel Word and other standard business applications.

• Excellent organizational communication and problem-solving skills.

• Ability to work independently prioritize competing responsibilities and make sound decisions under pressure.

• Ability to quickly adapt to an existing facility operation and maintain continuity of services during a temporary assignment.

Preferred Qualifications

• Certified Facility Manager (CFM) Certified Property Manager (CPM) or similar professional certification.

• Experience managing multiple facilities or a regional property portfolio.

• Familiarity with Computerized Maintenance Management Systems (CMMS).

• Knowledge of commercial leases contract administration and basic accounting practices.

• Experience with capital planning project management and budget forecasting.

• Understanding of skilled trades operations and trade union procedures.

• Strong background in commercial real estate or corporate facilities management.
