Position Overview The Clinic Administrator oversees the daily administrative operations of the assigned clinic(s) to ensure workflows function properly, infrastructure supports efficient and effective care, and the optimal patient experience is delivered. The Administrator is accountable for reporting on the clinic’s operational performance monthly, according to Key Performance Indicators (KPIs) established by management. Essential Responsibilities Manage and develop an effective staff, including communication, leadership, guidance, and resource allocation in accordance with organizational policies and regulations. Recruit, interview, select, hire, train, orient, mentor, evaluate, coach, counsel, discipline, and reward staff, establishing and monitoring safety and regulatory compliance. Collaborate with cross‑functional teams to ensure excellent quality, timeliness, and customer service throughout the entire customer experience. Work with Clinical Director to implement best practices and operational workflows; participate in clinic‑level monthly operating reports and set strategic goals. Oversee delegation and execution of administrative, location‑specific tasks, including maintenance, facility repairs, equipment and supplies purchasing, IT issue escalation, emergency preparedness exercises, and phone roster distribution. Audit clinics to ensure compliance with operational and safety standards, such as expired supplies, annual fire inspections, medication management, and equipment calibration. Manage provider scheduling, training scheduling, and administrative responsibilities for all clinical support employees; approve staff timekeeping according to policy. Coordinate front‑desk staff operations to achieve customer satisfaction, quality service, and compliance with established procedures and policies. Maintain customer satisfaction survey and NPS targets; resolve and communicate physician and customer inquiries, incidents, and complaints. Act as the HR liaison and perform HR/payroll related duties assigned to clinics in cooperation with the Human Resources department. Supervisory Responsibilities Directly supervise 5‑10 employees within the clinic. Other Duties Perform additional duties as needed and assigned by the supervisor. Minimum Qualifications Bachelor’s Degree in Business, Healthcare, Marketing, or a related field. Two years of healthcare or business operations experience and two years of leadership experience, preferably in a multisite healthcare service clinic or physician services environment. Proficiency with Microsoft Office Suite and project management software. Work Environment And Conditions Occasionally required to stand, walk, climb, balance, bend, stoop, kneel, crawl and lift 20 pounds. Frequently required to sit, talk, or hear and work in front of a computer. Continually required to utilize hand and finger dexterity. Locations Sloan’s Lake and Golden Clinics.
