Position Summary:
The Attendance Secretary is responsible for managing and maintaining accurate student attendance records and providing administrative support to the school. This role involves tracking student attendance, managing absence notifications, working with parents and staff to address attendance concerns, and ensuring compliance with school policies and state regulations. The Attendance Secretary serves as the main point of contact for all attendance-related inquiries and helps create a positive school environment by ensuring students are accounted for and supported.

Minimum Qualifications:
  • High School Diploma or GED required; Associate's degree or coursework in office administration or a related field preferred.
  • Previous experience in an office or school setting is preferred.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
  • Strong organizational skills with attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to maintain confidentiality of student information.
  • Ability to work independently and handle multiple tasks in a fast-paced environment.
  • Arizona IVP Fingerprint Clearance Card.
Core Job Functions:

To successfully perform this role, the individual must be able to execute the following essential duties:
  1. Attendance Tracking:
    • Record and monitor daily student attendance, including absences, tardies, and early dismissals.
    • Ensure that all attendance data is entered accurately into the student information system.
    • Identify attendance patterns, including excessive absences or tardiness, and report concerns to the appropriate school staff for follow-up.
    • Track and maintain documentation for excused and unexcused absences according to district and state guidelines.
  2. Communication with Parents/Guardians:
    • Respond to parent calls and inquiries about student absences or attendance issues.
    • Notify parents of student absences through phone calls, emails, or other communication methods as required.
    • Assist parents with submitting attendance-related documentation, such as doctor's notes or excuse letters, for student absences.
  3. Student Support:
    • Provide students with attendance-related information, such as the process for submitting absence excuses or tardy notes.
    • Monitor and track student absences, ensuring appropriate follow-up actions are taken to address chronic absenteeism.
    • Assist students in scheduling makeup work or exams when they miss class due to illness or excused absences.
  4. Administrative Support:
    • Maintain accurate and up-to-date attendance records and reports for students, providing data to administrators, teachers, and other school personnel as needed.
    • Assist with the preparation of attendance-related reports for state compliance and district auditing purposes.
    • Support the school office with general administrative tasks, such as answering phones, greeting visitors, and handling incoming mail.
    • Organize and maintain files related to student attendance, absences, and tardies.
  5. Compliance and Reporting:
    • Ensure compliance with school, district, and state attendance policies and regulations.
    • Prepare and submit necessary reports related to student attendance, including truancy reports, to the appropriate authorities.
    • Assist in the coordination of attendance audits, ensuring that all documentation is accurate and up-to-date.
  6. Collaboration with School Staff:
    • Collaborate with teachers, counselors, and administrators to address attendance concerns and support students with attendance issues.
    • Work with school staff to ensure accurate reporting of student attendance and appropriate follow-up for students with excessive absences or tardies.
    • Assist with scheduling meetings for students with attendance concerns, including parent meetings and intervention plans.
  7. Records Management:
    • Ensure student attendance records are maintained in a secure and confidential manner.
    • Organize and update student attendance records in compliance with district policies.
    • Retain and archive attendance records according to district and state retention requirements.
  8. Other Duties as Assigned:
    • Assist with other office duties or projects as needed by school administration.
    • Support school-wide events or activities as assigned by the principal or school office staff.
    • Perform additional tasks related to student attendance or other administrative functions as requested.

Physical Demands:
  • Regularly required to talk, hear, and use hands and fingers to manipulate documents, records, and office equipment.
  • Frequently required to sit, stand, or walk for extended periods of time.
  • Ability to lift and move up to 15 lbs., such as files or office supplies.
  • Vision requirements include close vision for reading and reviewing student records and documents.
Working Conditions:
  • Work is performed in a school office environment, with frequent interaction with students, staff, and parents.
  • The position may require occasional evening or weekend work for special school events or meetings.
  • The Attendance Secretary is expected to work independently but also collaborate with staff and school leadership as necessary.
Compensation:
  • Salary: $16.55 - $20.55 DOE
  • Benefits: Health insurance, retirement plan, paid time off, and other district benefits (if applicable).
