Billing SpecialistThis is a hybrid role with three days a week in office. This role is located in either New York City or downtown Chicago. We're seeking a detail-oriented and proactive Billing Specialist to join our dynamic team. This role is pivotal in ensuring accurate and timely billing for assigned client accounts. You'll collaborate closely with internal departments—including Account Management, Business Affairs, Project Managers, and Finance—to streamline billing operations and uphold client satisfaction. If you thrive in a fast-paced environment, have a knack for numbers, and enjoy cross-functional teamwork, we'd love to meet you.ResponsibilitiesAct as the primary billing liaison between internal teams, clients, and finance teamsProcess new job requests for assigned client accounts with accuracy and efficiencyReview client scopes of work to ensure alignment with billing requirementsVerify receipt of client purchase orders and confirm consistency with statements of work (SOW)Ensure all jobs are billed accurately and within designated timelinesExecute billing processes per client specifications and provide clear direction to internal resources for submissionInterpret and utilize billing reports to support financial accuracy and transparencyClose completed jobs in accordance with internal procedures and client requirementsCollaborate with account teams to address billing-related needs, including:Job transfers and reallocationsDraft invoice creation, review, and approval workflowsWrite-offs and billing adjustmentsProof of performance documentationOut-of-pocket (OOP) expense backup and reconciliationClient Purchase OrdersQualificationsRequired Skills & Qualifications:2+ years of billing, accounting, or finance experience (marketing or agency experience a plus)Strong analytical and problem-solving skillsExcellent organizational and time-management abilitiesProficient in Microsoft Word, Excel, OutlookExceptional communication skills—able to explain billing details clearly and professionallyAbility to prioritize tasks and manage multiple deadlinesHigh level of accuracy and attention to detailPreferred Qualifications:Experience in a marketing, advertising, or media agency environmentExperience with SAPFamiliarity with project-based billing and retainer modelsKnowledge of revenue recognition principlesAdditional InformationOur Publicis Groupe motto "Viva La Différence" means we're better together, and we believe that our differences make us stronger. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. Temporary roles may be eligible to participate in our freelancer/temporary employee medical plan through a third-party benefits administration system once certain criteria have been met. Temporary roles may also qualify for participation in our 401(k) plan after eligibility criteria have been met.
