The Health Information Management (HIM) Specialist Team Lead serves as a key resource within the HIM department, promoting the accurate, timely, and compliant management of patient health information. This role ensures consistency in departmental practices and the delivery of high service standards across the organization through HIM expertise and team collaboration. The Team Lead supports team development and operational effectiveness while serving as a trusted partner to leadership and staff. Through a strong commitment to quality and knowledge sharing, this position directly contributes to the department's success and supports the organization's mission of delivering exceptional patient care.

Essential Responsibilities

Leadership Support

• Serve as the department's subject matter expert (SME) for Health Information Management policies, workflows, systems, and best practices.
• Provide guidance and support to HIM team members, promoting consistency, accuracy, and efficiency in daily operations.
• Train and onboard new HIM team members, ensuring successful adoption of departmental processes and performance expectations.
• Assist with the creation and maintenance of departmental training materials, reference guides, and standard work procedures.
• Support operational continuity by coordinating workflow coverage during staffing shortages and serving as a contact for employee call outs when leadership is unavailable.
• Participate in department and organizational meetings, presenting updates on team performance, departmental challenges, and improvement initiatives.
• Partner with leadership to identify opportunities to improve processes, enhance service levels, and strengthen departmental performance.

Health Information Management Responsibilities

• Prepare and organize medical records for clinic and imaging appointments to ensure providers have all necessary information. 
• Scan medical histories and related documents into patient charts in the correct order, following department standards. 
• Locate, retrieve, and distribute medical records to physicians, departments, and staff as requested. 
• Ensure accurate and efficient document flow throughout the office. 
• Utilize computer tools, including the Epic EMR system, to access charts, verify information, and manage patient communication tasks. 
• Maintain full compliance with HIPAA regulations and protect patient confidentiality at all times. 
• Sort and distribute incoming faxes efficiently. 
• Communicate with staff regularly to ensure timely completion of assigned tasks. 
• Recommend improvements to enhance departmental workflow, productivity, and efficiency. 
• Perform additional duties as assigned to support departmental operations. 

Schedule

• Monday through Friday, 8:00 AM to 4:30 PM. 

Compensation

The base pay range for this position is $15.00 - $18.50 Hourly. Starting pay within the posted range is determined by factors including job-related skills, experience, education, and qualifications. The range provides the opportunity to progress as you grow and develop within a role.

Minimum Qualifications

• High school diploma or equivalent required.
• At least one year of experience working in a medical office, clinic, or healthcare setting. 
• Strong knowledge of health information management practices and medical records processes.
• Ability to operate computers and standard office equipment, including printers, scanners, fax machines, and copiers.
• Ability to manage high-volume administrative workflows with accuracy.
• Experience utilizing electronic medical record (EMR) systems; Epic experience preferred.
• Excellent verbal and written communication skills.
• Exceptional organizational skills with the ability to manage multiple tasks and deadlines.
• Demonstrated ability to train, coach, and support team members in a professional and constructive manner.
• Strong understanding of HIPAA guidelines with the ability to maintain strict confidentiality and privacy of patient information.

Physical Requirements

• Ability to lift and carry up to 15 lbs.
• Ability to work at a desk for extended periods (sitting), up to 8 hours per day
• Ability to use a computer and standard office equipment for extended periods, up to 8 hours per day
• Ability to work onsite Monday through Friday
