Check us out at The Sales Office Assistant is responsible for providing administrative and clerical tasks that help the sales office run smoothly. This position will provide outstanding customer service during all customer interactions. Support the Community General Manager/Sales Manager with marketing and inventory upkeep to position the community to achieve company occupancy goals and promoting the Windward lifestyle. Full‑time position in the Sales Office, Monday – Friday 8:30am – 5pm. Hourly rate $16‑$17 per hour. Duties and Responsibilities Assists the Community General Manager (CGM)/Sales Manager in day-to-day sales operations of the community. Create an exceptional first impression of the community by warmly greeting all prospects immediately upon entering the sales office. Always provides top‑notch customer service. Inspect/ensure sales office and inventory homes are in excellent show condition daily. Identify curb appeal and community environment/aesthetics weaknesses and opportunities. Ensure that leads in Sales Force are responded to by phone call and email in a timely manner, if the CGM/Sales Manager cannot get to them. Create and maintain online home listings by managing and updating inventory, including pricing, pictures and descriptions, as provided by the CGM/Sales Manager, on a regular basis. Ensure that all marketing materials and supplies in the sales office and inventory homes are fully stocked and professionally displayed. Confirm that all signage and flags throughout the community are properly and professionally displayed. Learn and provide accurate information to prospects, as directed by the CGM/Sales Manager. Information may include pricing, special offers, inventory, and other pertinent details to encourage prospects to book a tour and ultimately, choose our community. Comfortably ask the prospect predetermined discovery questions and document the replies for the CGM/Sales Manager. Assist maintaining frequent and scheduled follow‑up with sales leads. Perform administrative duties including but not limited to email correspondence with prospective residents, answering and returning phone calls, and ensuring office organization and supply needs are maintained. Occasional trips to the post office for priority mailings or to the store for supplies. Assist with planning and participate in any marketing or community events. Perform other duties as assigned by CGM/Sales Manager. Qualifications High School Diploma or GED Strong organizational and time management skills Ability to communicate effectively and confidently with others through verbal, written and face‑to‑face settings Excellent customer service skills; able to connect with others and build relationships. Basic computer proficiency with the Microsoft Office Suite, including the ability to use email and internet. CRM software experience and knowledge of digital marketing & design a plus. Keen attention to photographic detail and composition. A valid driver’s license, clean driving record, and automobile insurance. The role routinely uses standard office equipment such as computers, phones, printers, photocopiers, filing cabinets and scanners. It also requires leaving an office environment for inventory home inspections, setting up marketing materials/flags/signs, community curb‑appeal monitoring and occasional office errands.
