The School of International Letters and Cultures (SILC) at the Tempe campus seeks a highly detail-oriented Department Human Resources Specialist Senior to manage human resources functions for the unit. These functions include but are not limited to hiring, job changes, academic personnel process support, payroll reconciliation, and academic appointments. The successful candidate will be a reliable self-starter who is able to prioritize and independently manage their workload to meet deadlines. This position requires attention to detail, excellent communication skills, a strong work ethic, and flexibility.
Essential Duties:
Manages all steps of faculty, postdoc, staff, and student worker searches, retirements/resignations, job changes, and terminations in Workday and Interfolio, ensuring onboarding and offboarding is complete.
Advises, interprets, and provides direction to faculty and staff on university policies, HR procedures, payroll matters, benefits concerns, and applicable federal, state, and local laws/regulations.
Supports the Assistant to the Director with the unit’s academic personnel processes - promotion/tenure, career-track promotions, probationary reviews, progress towards tenure reviews, academic appointments, administrative appointments, and Notice of Appointments.
Manages the hiring and renewal process for session faculty, instructional professionals, and graduate students.
Oversees the unit’s timekeeping operations by coordinating with supervisors to ensure all time entries are accurate and approved by payroll deadlines.
Completes monthly payroll reconciliations and reviews payroll reports bi-weekly to resolve any variances.
Coordinates with Central Leaves as the unit contact for leave requests for staff and academic personnel.
Modifies costing allocations and submits payroll accounting adjustments, working collaboratively with other ASU units when appropriate.
Processes requests for contingent workers, courtesy affiliates, and adjunct faculty.
Coordinates all visa application and renewal processes for the unit, such as but not limited to H1-B, J-1, and permanent residency.
Assists as needed with the unit's faculty annual evaluation process.
Monitors trainings, benefits enrollment, and staff check-ins are completed on time.
Maintains appropriate personnel files and timekeeping records as required by university, state, and federal guidelines.
Responds to internal and external audit requests related to human resources and/or payroll.
Advises and assists unit personnel in the handling of employee relations issues, complaints and/or grievances and determination of appropriate actions, seeking assistance from The College or Central HR when necessary.
Participates in a variety of departmental, college, and university-wide initiatives and meetings to represent the unit's interests in the area of human resources and act as a liaison with other university areas.
Performs other duties as assigned to ensure the continuity of unit operations and to meet customer service needs.
Desired Qualifications:
Demonstrated knowledge of human resources management.
Experience processing payroll and completing payroll reconciliation.
Experience working in higher education or academic unit.
Experience processing a high volume of HR and payroll transactions.
Experience in processing and managing immigration matters: visas, e.g. O-1, H1-B, J-1, and permanent residency
Demonstrated knowledge of FLSA, FMLA, ACA and University policies and procedures
Experience with ASU systems such as Workday, Interfolio, Peoplesoft, Analytics, Microsoft Office, DropBox, and Google Drive.
Skill in effective communication, both verbal and written.
Ability to work effectively and adapt in an environment subject to quickly changing priorities and short deadlines.
Experience in working effectively and collaboratively with faculty, staff, and students.
Working Environment:
Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse.
Required to stand for varying lengths of time and walk moderate distances to perform work and attend meetings.
Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds.
Regular use of standard office equipment including but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, calculator, copier, telephone and associated computer/technology peripherals.

The School of International Letters and Cultures is one of 19 academic units within The College of Liberal Arts and Sciences where students receive rich educational experiences that prepare them for life and citizenship in the modern world. In addition to courses taught by world-class faculty in both ancient and modern languages and cultures, students are exposed to various world languages and cultures through study abroad programs, full-year or semester-long language and cultural immersion programs, on-campus international guest speakers, international student organizations, intensive language study, and mentorship by internationally recognized faculty. With a teaching and research staff of approximately 200 faculty, lecturers, instructors, faculty associates, and graduate teaching assistants, SILC offers 28 undergraduate degrees, 12 graduate degrees, 15 summer study abroad programs and has approximately 600 majors and 70 graduate students.
