Project Specialist
The Project Specialist is a highly skilled professional responsible for leading complex, cross-functional initiatives that support Luminis Health Clinical Enterprises (LHCE) strategic and operational priorities. Serving as a trusted partner to leadership, this role drives execution, enhances operational performance, and ensures alignment with enterprise goals. This position exercises independent judgment and decision-making authority while managing projects, supporting executive leadership, and coordinating across departments, vendors, and external stakeholders. The Project Specialist ensures initiatives are delivered on time, within scope and budget, and in alignment with organizational standards and performance expectations.
Project & Program Leadership:
- Lead the planning, execution, and sustainment of multiple concurrent, complex projects across clinical, operational, and administrative domains.
- Develop and manage comprehensive project plans, timelines, metrics, and deliverables to ensure successful outcomes.
- Serve as the primary point of accountability for assigned initiatives, ensuring alignment with strategic priorities.
- Identify risks, dependencies, and operational challenges; implement proactive mitigation strategies.
- Drive project governance through structured tracking of milestones, decisions, and deliverables.
Executive & Strategic Support:
- Provide high-level support to senior leadership, including prioritization of initiatives and management of critical deliverables.
- Develop executive briefings, presentations, board materials, and enterprise reports.
- Draft and manage executive communications, correspondence, and stakeholder messaging.
- Anticipate leadership needs by maintaining awareness of enterprise priorities, deadlines, and sensitivities.
- Support strategic planning and execution through data-driven insights and analysis.
Stakeholder Engagement & Cross-Functional Coordination:
- Coordinate multidisciplinary teams across departments, including MSO, PASS, Provider Enrollment, IT, Finance, Facilities, and external partners.
- Serve as a key liaison between leadership, physicians, operational teams, vendors, and external agencies.
- Facilitate meetings, establish agendas, capture decisions, and ensure accountability for action items.
- Promote collaboration and alignment across stakeholders to achieve project and organizational goals.
Operational Excellence & Process Improvement:
- Identify operational inefficiencies and lead process improvement initiatives to enhance performance and scalability.
- Standardize workflows, tools, and reporting practices to support consistency and effectiveness.
- Manage operational systems, including dashboards, reporting tools, and project-tracking platforms.
- Oversee the logistical coordination of operational activities, such as space utilization (e.g., timeshare scheduling), vendor management, and service delivery.
- Maintain ownership of key operational functions, including reporting cycles and performance metrics.
Financial, Contractual & Compliance Oversight:
- Monitor project budgets, expenses, and financial performance to ensure fiscal responsibility.
- Support invoice processing, reconciliation, and financial-tracking activities.
- Oversee lease-related activities, including documentation management, renewal tracking, and market-alignment considerations.
- Ensure compliance with healthcare regulations, organizational policies, and contractual obligations.
- Handle sensitive and confidential information with the highest level of professionalism and discretion.
Education & Experience Requirements:
- Bachelor's degree or a minimum of five to eight years of progressive experience in healthcare operations, project management, or administrative leadership.
- Demonstrated experience managing complex, cross-functional initiatives.
- Strong proficiency with Microsoft Office Suite and project management tools.
- Experience working with executive leadership and enterprise-level stakeholders.
- Advanced experience with reporting tools, dashboards, and data analysis.
- Project Management Certification preferred.
Working Conditions & Physical Demands:
- Light work: exerting up to 20 pounds occasionally and/or up to 10 pounds frequently.
- Primarily sedentary work with extended periods of computer use.
- Minimal exposure to environmental or occupational hazards; no expected exposure to blood-borne pathogens.
Pay Range $100,000 — $120,000 USD
