Intake Specialist

The Intake Specialist provides administrative and customer service support to a growing team. Responsibilities include transferring documents between databases, communicating with clients about necessary documents, advising about next steps and the onboarding of clients with attorney (Momentum Immigration).The Intake Specialist will also be a key member of the team by drafting simple RFE responses under direction of the legal team, compiling drafted RFEs and performing data integrity and data audits.Intake Specialist will provide exceptional customer service to foreign national clients and in many cases will act as the initial point of contact for clients with respect to the legal team. The Intake Specialist will report directly to the Senior Coordinator.Duties/ResponsibilitiesReport to Senior CoordinatorServe as a first point of contact for clients regarding legal representation transfer to Momentum ImmigrationProvide exemplary and timely communication to foreign national clients regarding case onboarding and next stepsResponsible for initial analysis of client matters, urgency, deadlines and de-escalationAssist with a timely and orderly transition of client’s matters to Momentum ImmigrationCommunicate with clients regarding transfer of legal representation, send Engagement Letters and G-28 to clients and collecting signaturesTransfer documents between databases/upload documents into SharePoint and immigration softwareGather and organize supporting documentation from clients that are necessary for onboarding with attorney(s) or to respond to requests from various immigration authoritiesDraft responses to simple RFEs (medical exam requests, provision of simple documents such as birth certificates, translations etc.)Compile drafted RFEsMeet assigned deadlines and communicate case progress/issues to the Senior Coordinator and/or attorneyWork collaboratively with USCIS Immigration Specialist(s) and Coordinator(s), manager(s), and attorney(s)Additional responsibilities as assigned.Required Skills/AbilitiesStrong organizational skills and ability to meet deadlinesStrong desire to work in a team-oriented environmentKeep attention to detailTrack record of providing excellent client service within a fast-paced environmentInterest in learning U.S. immigration lawPrior experience with U.S. immigration a plusPrior experience using immigration case management systems, such as INSZoom, a plusEducation and ExperienceSome College/Associate's degree preferred1 plus year(s) work experience in similar positionPrior experience working with Employment Based or similar Immigration programs helpfulSupervisory ResponsibilityNoneWork EnvironmentProlonged periods sitting at a desk and working on a computerRemote (US based)/HybridEEO StatementThe company provides equal employment opportunities to all employees and applicants for employment and prohibits discrimination and harassment of any type without regard to race, color, religion, age, sex, national origin, disability status, genetics, protected veteran status, sexual orientation, gender identity or expression, or any other characteristic protected by federal, state, or local laws.Please note that this job description is not designed to cover all activities, duties, or responsibilities.
