Program Assistant (The National PCA Hub) Des Moines, IA, US Salary Range: $50,000.00 To $80,000.00 Annually The National PCA Hub is an initiative designed to strengthen collaboration and resource sharing for the collective benefit of all Health Centers and Primary Care Associations (PCA) across the nation, representing the most comprehensive, trusted, and enduring technical assistance (TA) infrastructure supporting the Health Center Program.

POSITION ROLE

The Program Assistant provides administrative, logistical, and participant support for the National PCA Hub's Operational Excellence National Technical Assistance Program (NTAP). This position supports the planning, implementation, and evaluation of national technical assistance activities, including webinars, Communities of Practice (CoPs), learning collaboratives, and outcomes-focused cohorts. The Program Assistant serves as a key coordination resource for participant communications, registration management, engagement tracking, documentation, survey administration, reporting, and compliance support. The position works closely with the TA Director/Lead, Program Managers, Communications & Engagement Manager, and external partners to ensure high-quality delivery of technical assistance activities and effective participant engagement across the national health center network.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Technical Assistance Coordination Coordinate logistics for webinars, Communities of Practice, learning collaboratives, and cohort activities. Manage participant registration, attendance tracking, waitlists, and participant records. Support meeting scheduling, calendar coordination, and dissemination of meeting materials. Assist facilitators and subject matter experts during virtual and in-person events. Maintain participant databases and activity records. Communications and Engagement Support Draft and distribute participant communications, reminders, announcements, and follow-up materials. Support dissemination of technical assistance resources, tools, and learning materials. Assist in maintaining online resource libraries, clearinghouses, and participant portals. Support engagement and outreach activities designed to increase participation among health centers and partner organizations. Evaluation and Reporting Administer participant surveys and evaluation tools before, during, and after activities. Compile participation, engagement, and satisfaction data. Support data entry, quality assurance, and reporting activities. Assist with preparation of program reports, dashboards, and HRSA-required documentation. Compliance and Administrative Support Maintain organized documentation and records to support federal grant compliance and audit readiness. Assist with monitoring activity deliverables, timelines, and reporting requirements. Track technical assistance outputs and performance measures. Support contract management and coordination with consultants, subject matter experts, and partner organizations. Perform other duties as assigned to support successful implementation of NTAP activities.

SKILLS AND KNOWLEDGE REQUIREMENTS

Strong organizational and project coordination skills. Excellent written and verbal communication skills. Experience with virtual meeting and webinar platforms (Microsoft Teams, Zoom, WebEx, etc.). Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook. Ability to manage multiple priorities and deadlines simultaneously. Attention to detail and commitment to accuracy. Knowledge of participant tracking, survey administration, and data management practices. Ability to work collaboratively with diverse stakeholders across multiple organizations. Familiarity with technical assistance, training, adult learning, or professional development programs preferred. Knowledge of health centers, Primary Care Associations (PCAs), or federally funded programs is preferred. Understanding of federal grant requirements and reporting processes is preferred.

QUALIFICATIONS

Required Associate's degree in business administration, public administration, communications, public health, or a related field; or equivalent combination of education and experience. Minimum of two (2) years of experience providing administrative, program coordination, or project support. Demonstrated experience coordinating meetings, events, or training activities. Experience working with databases, spreadsheets, and reporting tools. Preferred Bachelor's degree in business administration, communications, public health, healthcare administration, or related field. Experience supporting HRSA-funded programs, national technical assistance initiatives, or nonprofit organizations. Experience with survey platforms, CRM systems, learning management systems, or participant engagement platforms. Familiarity with health center operations, workforce development, or performance improvement initiatives.

WORK LOCATION

This position may be hybrid for candidates residing in Central Iowa and fully remote for candidates located outside the Central Iowa area.
