We are currently seeking a Senior Manager, Payroll to join our team. The Senior Manager, Payroll is a hands‑on, people‑focused leader responsible for directing and coordinating all payroll activities for a complex, US multi‑state workforce. This role ensures timely and accurate payroll processing across multiple legal entities and is also accountable for designing, building, and continuously refining a best‑in‑class payroll infrastructure. By integrating scalable processes, robust compliance measures, and advanced technologies, the Senior Manager will establish a foundation that enables operational excellence, fosters compliance stewardship, and adapts to evolving business needs. This position requires a balance of strategic leadership and tactical execution, fostering strong partnerships with internal and external stakeholders while promoting a collaborative and service‑oriented environment that consistently delivers exceptional customer service. Infrastructure Design, build, and continuously refine a payroll infrastructure that aligns with both immediate and future business objectives, ensuring flexibility to adapt to evolving business and customer requirements. Integrate scalable processes and robust compliance measures, create a foundation that enables a best‑in‑class payroll function delivering exceptional customer service across the organization. Payroll Operations, Compliance & Data Integrity Oversee end‑to‑end multi‑state payroll for multiple legal entities, ensuring the consistent accuracy of payroll execution, including timekeeping, data imports, and wage calculations. Ensure full compliance with wage and hour laws, payroll tax filings (Federal, State, Local), and garnishments. Maintain strict confidentiality and integrity of payroll data. Ensure payroll documentation is accurate, compliant, organized, and audit‑ready in alignment with company policies and regulatory requirements. Remain current on changes in payroll laws, tax regulations, and industry best practices. Audit, Controls & Special Pay Drive compliance through internal controls, managing internal and external audits, and performing GL reconciliations. Audit and process incentive compensation, scheduled bonuses, and out‑of‑cycle bonus payments. Lead payroll system configurations, upgrades, and integrations to support workflow efficiency and data accuracy. Generate detailed payroll reports for Finance, HR, and Accounting to support business insight and reconciliation needs. Provide incisive leadership to the payroll team, including coaching, developing, and training team members for success. Promote a positive, collaborative, and supportive work environment, ensuring exceptional internal customer service and strong cross‑department relationships. Process Improvement & Optimization Critically review and analyze current payroll practices to identify opportunities for improvement. Plan, develop, and implement forward‑looking payroll processes and procedures to improve accuracy, efficiency, and overall employee experience. Cross‑Functional Collaboration Collaborate with HR, Finance, and other departments in support of business needs and employee experience. Strengthen internal communication with staff and colleagues at all levels to ensure consistent and exceptional internal customer service. Support the Accounting team on special projects and other assignments as needed. Requirements and Qualifications Experience, Knowledge & Education Experience Ten (10) to fifteen (15) years’ relevant work experience leading Payroll and related processes of a large volume of employees (including remote workforce) in a complex and rapidly changing multi‑state, multi‑entity organization. Minimum seven (7) years in a supervisory position with two (2) or more direct reports. Demonstrated experience in building high performance teams. Overseeing multi‑state payroll processing, including timekeeping integrations and wage calculations. Configuring and/or optimizing changes to payroll systems and/or provider. Experienced in audit preparation, including GL reconciliation. Knowledge In‑depth knowledge of payroll processing across multiple U.S. states and legal entities. Strong understanding of wage and hour laws, timekeeping, payroll tax regulations, and related compliance requirements. Deep knowledge of multi‑state taxation and labor laws (FLSA). Knowledge of payroll record‑keeping requirements, data integrity standards, and audit‑ready documentation. Well versed with required internal controls related to payroll processes. Understanding of general health and welfare benefits related to payroll deductions and compliance. Education Associate of Arts (AA) or Associate of Science (AS) degree or professional certificate in accounting or business administration preferred. Certified Payroll Professional (CPP) or Fundamental Payroll Certification (PC) designation is a plus. Leadership & Teamwork Demonstrated ability in building and managing highly collaborative and effective teams supporting multiple companies/business units, committed to a culture of collaboration, performance, transparency, and integrity. Outstanding people skills with proven experience in cultivating cross‑collaborative working relationships and influencing at all levels. Skilled at building partnerships and working collaboratively with internal and external stakeholders. Capacity to adjust strategies and processes in response to evolving business needs and industry trends. Communication & Problem Solving Ability to communicate with precision, ensuring clear conveyance of project status, problems, resolutions, and recommended actions. Ability to evaluate complex payroll issues, identify solutions, and implement effective action plans. Service Orientation & Integrity Commitment to delivering exceptional service and fostering a service‑oriented environment. Demonstrated ability to handle sensitive payroll data with discretion, upholding the highest standards of integrity. Process Improvement & Efficiency Aptitude for streamlining and simplifying teams, policies, and processes for efficiency while maintaining appropriate internal controls. Skill in configuring and optimizing payroll systems to enhance accuracy and workflow efficiency. Audit & Controls Strong orientation toward audit readiness and maintaining effective internal controls. Technology Advanced proficiency in or with: Payroll systems; Paycom is highly valued. Proficient in or with: Microsoft Office Suite, Word, Teams, PowerPoint Corporate credit card expense management software, BILL Spend & Expense preferred. Excels in proficiently learning new software with ease. Other As business needs warrant: Domestic travel: periodic trips between business locations in PA, CA WA.
