In this role you will be supporting branch and regional leadership by providing administrative support across the business. What You Will Do: The primary responsibility of the Operations Support Specialist is to provide critical administrative and operational support across our service, construction, and installation teams. The OSS will ensure efficient coordination of field activities, accurate work order processing, and high‑quality customer communication. How You Will Do It: Support job set up, job cost tracking, and technician assignment for construction projects Coordinate with construction supervisors to maintain project timelines and material readiness. Maintain accurate job site documentation including permits, inspection results, and contractor notes Track labor and materials used per job phase and ensure system records reflect actual field activity Serve as the primary liaison for scheduling technicians and capturing accurate job scope Manage technician routes and ensure correct documentation prior to job dispatch Confirm service level agreements (SLAs) and customer commitments are met Coordinate with parts or warranty teams to ensure technicians are properly equipped prior to deployment Assign work orders to field technicians based on availability, skills, and geography Monitor job status throughout the day and adjust assignments as needed Act as the primary communication point for real‑time technician updates and emergencies Track technician productivity and identify gaps in coverage or route inefficiencies Draft and update work orders with parts used, technician notes, and labor hours Ensure billing and documentation are complete for invoice and job closeout Verify warranty eligibility and flag jobs that require additional review before invoicing Support credit memos and customer billing inquiries by validating service documentation What We’re Looking For: Familiarity with CRM systems and Microsoft Office Suite (Word, Excel, Outlook) Maintains professionalism and a positive attitude in high‑pressure situations Communicates effectively and persuasively with key stakeholders including project managers, operations managers, and customer contacts Customer Service Oriented Good work ethic Good organization and time‑management skills Work independently and as a member of a team Work under time constraints efficiently Create and maintain professional relationships within all levels of the organization (peers, work groups, customers, and supervisors) Follow all company procedures High School diploma or equivalent required, bachelor’s degree strongly preferred 2+ years in service coordination, dispatch or operations support What United Uptime Can Offer You: In addition to competitive pay, we're proud to offer: Comprehensive Benefits: We believe in taking care of our team.
