This role requires a professional multi-tasker to cover the front desk responsibilities, process sensitive documents, handle database entries, and support daily team operations. Key Responsibilities Client Relations: Serve as the face of the firm by warmly greeting visitors, answering calls, and creating a welcoming office environment. Sensitive Document Management: Maintain absolute discretion while scanning and organizing confidential client files, a critical component during peak tax seasons. Office Coordination: Oversee office supplies, maintain office machines and ensure the shared spaces remain highly presentable. Administrative Operations: Sort incoming and outgoing mail, manage deliveries, oversee shredding schedule, filing, draft letters, and partner with leadership to streamline workflows. Financial & Database Support: Accurately enter new client information and process payments using online charge services. Ideal Candidate Profile Experience: 2 to 4 years of proven administrative support experience, ideally within professional services (e.g., accounting, financial, or legal firms). Technical Skills: Strong proficiency with office software (Microsoft Office, database management, and virtual payment systems) and the ability to learn new tools quickly. Soft Skills: Polished, professional, resourceful and proactive problem solver who thrives in a fast-paced environment.
