Job Type: Full‑time The Impact You Will Make The Administrator role is multifaceted, allowing you to learn multiple parts of the business while supporting customers and team members. You will be responsible for creating a customer‑focused environment with every interaction you have—answering phones, scheduling appointments, helping onboard team members, and assisting your location’s leadership team. Contract processing and quality control, ensuring all contracts are valid before entry. Banking duties: cash receipt entry, deposit slips, credit card transactions, and bank deposits (including occasional bank visits). Daily processing of cemetery IOAs (Interment Order and Authorization) per company standards. Selling at‑need and pre‑need business by meeting with families, explaining Everstory products, and offering the best options for the deceased. Entering and tracking sales using Everstory CRM. File maintenance and record keeping: update customer files, scan documentation, and preserve records of memos, e‑mails, policies, and programs. Human resources: coordinate onboarding responsibilities as needed. Accounts payable: ensure all bills are paid promptly and process purchases and invoices through the system. Accounts receivable: collect past and present balances due for delinquent contracts. Deeds and certificates: provide to Sales Management weekly, log and process per location or state guidelines; verify trust certificates. Work and memorial orders: order memorials when paid in full and manage work orders for park services. White board meetings: participate in daily meetings between administration, maintenance, and sales. Reporting: produce trust, state‑required, and month‑end reports as necessary. Requirements Effective phone skills. Excellent filing skills and ability to type 40 words per minute with minimal errors. Basic math and computer skills, including word processing, spreadsheets, or Google equivalents. Adherence to company policies and confidentiality of employee and customer information. Great customer service and interpersonal skills. Proficient organizational skills. Ability to multitask efficiently and work independently or as part of a team. Ability to complete tasks and meet deadlines quickly. Valid state driver’s license and access to a personal vehicle for some locations. High school equivalency required. Minimum one year of experience in administration or customer service. Availability for some holidays, evenings, and weekends as needed.
