Essential Duties and Responsibilities

· Serve as the primary contact for new clients seeking mental health services.

· Must be willing to travel to do on-site registration at different locations.

· Conduct initial intake screenings to gather demographic, clinical, and insurance information.

· Enroll eligible clients into agency mental health programs and services.

· Verify health insurance eligibility, benefits, coverage, authorizations, and co-pay responsibilities using payer portals or by contacting insurance companies.

· Obtain and maintain required intake documentation, including consent forms and releases of information.

· Schedule initial assessments, psychiatric evaluations, therapy appointments, and other behavioral health services.

· Explain agency services, intake procedures, financial responsibilities, and appointment expectations to clients.

· Coordinate with clinical staff to ensure timely assignment of clients based on service needs and provider availability.

· Maintain accurate and timely documentation in the agency's electronic health record (EHR) system.

· Ensure client records are complete and compliant with agency, state, federal, and accreditation standards.

· Communicate effectively with clients, families, referral sources, insurance providers, and community partners.

· Monitor pending referrals and follow up with clients regarding missing documentation or insurance issues.

· Assist clients with identifying financial assistance or alternative payment options when appropriate.

· Maintain confidentiality of protected health information (PHI) in accordance with HIPAA regulations.

· Participate in team meetings, quality improvement initiatives, and ongoing training as assigned.

· Perform other administrative or intake-related duties as assigned.
