Program Coordinator

PROGRAM COORDINATOR - MEDICAL SERVICES ADMINISTRATION We are seeking an organized, detail-oriented program coordinator to manage day-to-day operations of our disability determination medical services contract with the District of Columbia. You will be the primary point of contact with the District, coordinating medical appointments, managing referrals, processing billing, and ensuring federal compliance. This role is essential to delivering high-quality, compliant medical services. Full-time position, Monday-Friday, 8:30 a.m. - 5:00 p.m., with potential on-call availability for emergencies. PRIMARY RESPONSIBILITIES: Serve as primary point of contact between contractor and District for all contract performance and operational matters Coordinate scheduling, referral intake, and appointment management for medical reviews and consultative exams Maintain staffing coverage ensuring no gaps exceeding 20 days in provider availability Manage interpreter services (spoken languages and ASL) and arrange transportation for claimants Process invoices and payment requests through DC Vendor Portal Track billable services and ensure accurate revenue recognition Receive and coordinate response to claimant complaints Monitor appointment status (kept, broken, cancelled) and report via required systems Maintain HIPAA-compliant documentation and secure record retention Track examination report submission timelines and ensure deadline compliance Communicate with Disability Claim Examiners regarding scheduling and issues Support subcontracting plan compliance and quarterly reporting Resolve operational problems and escalate complex issues appropriately Assist with staff training and orientation REQUIRED QUALIFICATIONS: Bachelor's degree in business administration, healthcare management, human resources, or related field Minimum 5 years of contract administration, healthcare operations, or program management experience Strong organizational, communication, and interpersonal skills Proficiency in Microsoft Office (Word, Excel, Outlook) HIPAA compliance knowledge and commitment to confidentiality Experience managing diverse provider networks and scheduling complex medical appointments Ability to manage multiple priorities and meet strict deadlines DC residency or willing to relocate PREFERRED QUALIFICATIONS: SSA disability programs, workers' compensation, or medical record management experience Familiarity with Electronic Record Express (ERE) system or similar medical records systems Federal contracting compliance and reporting experience Medical or healthcare administration background Bilingual proficiency (Spanish preferred) WHAT WE OFFER: Competitive salary and comprehensive benefits (health insurance, 401k, PTO) Supportive team environment Clear advancement path in healthcare administration #J-18808-Ljbffr
