HBO Billing SpecialistThe HBO Billing Specialist is responsible for processing agency-bill invoicing transactions within the HUB Billing Operation (HBO) West Region. Working directly within Epic, this role receives and processes!HBO activities assigned to them based on their designated Agency, Branch Code, or Profit Center. The HBO Billing Specialist partners closely with Servicers across the regional footprint to ensure complete and accurate billings, while adhering to established workflows, service standards, and quality controls. A strong communicator with a desire to learn, problem-solve, and be a proactive team player are essential to success in this role.ResponsibilitiesComplex Transaction ProcessingProcess agency-bill invoicing transactions for Personal Lines (PL) and Commercial Lines (CL) accountsExecute routine billing transactions including new business, renewals, and endorsements within EpicCoordinate premium financing transactionsComplete invoicing for all agency bill items for the designated region based on applicable workflows and service level standardsEnter transactions in Epic to match carrier documents and ensure proper codingEnsure carrier invoices are sent to accounting (HFC) and attach generated invoices to the!HBO activity before recording back to the ServicerActivity & Workload ManagementMonitor and manage!HBO activities assigned via Epic home screen based on designated Agency, Branch Code, or Profit CenterMonitor and process Normal priority!HBO activities same day if submitted before 2:00 p.m., or within 24 hoursProcess Urgent priority!HBO activities within 3 business hoursMeet individual productivity targets including activities, error rate, and reduction in NOCsAdhere consistently to established workflows, service standards, and quality controlsParticipate in the weekly team rotation across specialized focus areasServicer PartnershipReview incoming Servicer activities for completeness before processingFlag and return incomplete submissions to Servicers to reduce downstream billing errorsPartner closely with Servicers across the regional footprint to ensure complete billingsReview account setup in Epic to ensure proper account screen setupCommunicate to Servicers when adjustments or additional information is needed to invoice policiesCompliance & DocumentationMaintain accurate billing documentation in activity notes and attachmentsDouble-check key transaction areas before finalizing every billing: Policy number, effective dates, PPE & ICO codes, commission %, and Pr/Br codingAdhere to all HUB International and HBO requirements and policies to support SOX complianceEscalate billing exceptions and complex issues to Senior Billing Specialists as neededQualificationsStrong attention to detail, accuracy, and problem-solving skillsExcellent communication skills and a proactive, positive attitudeAbility to plan, organize, and execute independentlyAbility to manage high volumes of tasks efficiently within a structured environmentAbility to meet productivity and quality targetsPreferredAssociate or Bachelor's Degree1–2 years of previous accounting or billing experienceExperience with Applied Systems Epic (insurance broker management system)Previous experience in insurance billing, insurance account management, or financial servicesInsurance Broker LicenseHUB International Limited is an equal opportunity employer that does not discriminate on the basis of race/ethnicity, national origin, religion, age, color, sex, sexual orientation, gender identity, disability or veteran's status, or any other characteristic protected by local, state or federal laws, rules or regulations.
