Executive Assistant - System Chief Operating Officer

Overview The Executive Assistant will provide high-level administrative support to the incoming interim system Chief Operating Officer and the permanent System Chief Operating Officer. Responsibilities include preparing agendas and presentations, attending meetings, taking and distributing minutes, managing expense reports, screening visitors, and maintaining confidentiality. The role requires managing the executive’s calendar, arranging travel, and coordinating meetings. Essential Functions Ensure smooth day-to-day operations for the executive office. Coordinate with other departments for seamless workflow. Process expense reports and monitor budgets for executive-related activities. Conduct research and compile reports as needed. Prepare agendas, presentations, and meeting materials. Serve as the primary point of contact between executives and internal/external stakeholders. Qualifications Bachelor’s degree preferred. Minimum 4+ years in an office environment supporting management or leadership. Preferred 1+ years in healthcare or related industry. Strong organizational and time management skills. Excellent written and verbal communication. Proficiency in Microsoft Office Suite and collaboration tools. Ability to build collaborative relationships. Detail oriented.
