Executive Administrative Coordinator (Bilingual English/Spanish)
Location: Colorado Springs, Colorado
Schedule: Full-Time | Onsite
Compensation: $45,000–$54,000 annually

A nationally recognized food production organization headquartered in Colorado Springs is seeking a bilingual administrative professional to help support executive leadership and contribute to the efficiency of day-to-day business operations.

This position offers the opportunity to work directly with company leadership while partnering with teams across manufacturing, sales, finance, supply chain, and operations. The ideal candidate enjoys organizing complex schedules, coordinating projects, and serving as a reliable resource in a dynamic business environment.

About the Opportunity
As an Executive Administrative Coordinator , you will play an important role in helping leadership stay organized, informed, and focused on strategic priorities . Success in this position requires strong communication skills, excellent attention to detail, discretion, and the ability to manage multiple projects simultaneously.

Primary Responsibilities
Executive Support & Coordination

• Manage calendars, appointments, and scheduling requests for senior leaders
• Coordinate internal meetings, leadership discussions, and external appointments
• Assist with meeting preparation, agendas, materials, and follow-up actions
• Screen and prioritize communications, including emails, calls, and requests
• Arrange travel logistics, accommodations, and itineraries when needed
• Prepare reports, presentations, correspondence, and business documents
• Process expense reports and maintain supporting records

Project & Operational Support

• Monitor ongoing projects and help track deadlines, deliverables, and action items
• Facilitate communication between leadership and cross-functional departments
• Assist with organizing company events, meetings, and special initiatives
• Support workflow coordination across multiple business units
• Maintain confidential records and sensitive company information

Administrative & Office Coordination

• Serve as a professional point of contact for employees, candidates, vendors, and business partners
• Help direct inquiries to appropriate departments and resources
• Maintain organized filing systems and business documentation
• Support general office administration and operational needs
• Assist with special projects as assigned

Qualifications
Education

• High school diploma or equivalent required
• Associate’s degree or bachelor’s degree preferred

Experience

• 2-5 years of previous experience in administrative support, office management, executive assistance, or related functions
• Experience supporting senior leaders or executive teams is highly desirable
• Background in manufacturing, consumer packaged goods (CPG), food production, or operations environments is a plus
• Fluency in both English and Spanish required

Skills & Competencies

• Strong proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint
• Excellent organizational and time-management abilities
• Strong written and verbal communication skills
• Ability to handle multiple priorities in a fast-paced setting
• Professional judgment and discretion when handling confidential information
• Self-motivated, resourceful, and detail-oriented approach to work

Work Environment

This role is primarily office-based within a growing manufacturing organization. Team members may occasionally interact with warehouse, production, and operational departments while supporting company initiatives and leadership activities.
