Categories: Academic Affairs: Academic Programs and Departments The Registrar leads the Office of the Registrar and Academic Systems and is the chief student academic records official for Bates College. Reporting to the Vice President for Academic Affairs and Dean of the Faculty (DOF), the Registrar works in consultation with leadership in the DOF and has oversight for the development, implementation, and management of activities and systems related to academic records, student registration for courses, and course scheduling. Collaborating regularly with Institutional Research, Analysis, and Planning as well as staff in the Office of the Dean of the Faculty, the registrar is responsible for internal and external requests for data. The registrar ensures compliance with all federal, state, and agency regulations affecting the college’s academic programs. Job Duties Serve as chief student academic records custodian for Bates, overseeing the accuracy, integrity, security, and confidentiality of student academic records in accordance with institutional policy and state and federal regulations, including FERPA, and in consideration of industry best practice. Oversee the registration of students, collection of grades, and maintenance of student records. Publish the College Catalog. Oversee the course schedule and the assignment of classrooms for all college courses. Ensure the integrity of the Bates degree in accordance with institutional policy and accreditation standards, and in consideration of industry best practice. Direct the certification of students for graduation. Set goals and direction for the Office of the Registrar and Academic Systems, prioritizing work in support of the institution's mission. Design and execute projects using industry best practices to meet the strategic and technological demands of the Registrar's Office, the Academic Affairs enterprise, and the institution and to enhance quality of service to Bates's students, staff, faculty, and alumni. Manage the Registrar's Office department budget and ensure resources are allocated in support of the institution's mission. Participate in the governance of the college as a voting member of the faculty and as a member of several college committees. Supervise five professional staff positions, supporting and directing staff members in executing operations assigned to the Office of the Registrar and Academic Systems. Advise and collaborate with academic administration, faculty, faculty committees, student affairs and other administrative units to support student success and the effective implementation and enforcement of academic policies. Build partnerships with key stakeholders to optimize service to all constituencies, remove barriers for students, and administer academic policy within the scope of institutional resources. Participate in regional and national industry conferences and other professional development opportunities and engage in inter- and cross-institutional partnerships as a means of sharing best practices and increasing professional development opportunities for registrar staff. Partner with faculty and academic leadership to design and implement policies that uphold academic integrity while promoting equity and belonging across all student populations. Collaborate with Student Affairs, Equity and Inclusion, and Academic Advising to develop systems and practices that remove barriers and foster a sense of academic belonging for all students, including first-generation, international, and nontraditional learners. Minimum Qualifications Education Experience A minimum of 5 years experience working in a registrar’s office in a leadership role. Advanced proficiency with registrar and academic systems software (significant experience with Ellucian's Banner being ideal). Skills and Knowledge Commitment to equity and inclusion, and serving the needs of a culturally and educationally diverse community. Creative problem solving and a high attention to detail and a demonstrated ability to analyze and to find solutions that work for all constituents. Demonstrated skills as a supervisor, project manager, and leader in a registrar context. Demonstrated ability to communicate clearly and compassionately with a range of stakeholders to best serve a culturally and educationally diverse community. Collaborative leadership skills. An ability to lead with both direct authority and through influence. A commitment to responsive and supportive service and a demonstrated ability to work effectively within a community of faculty, staff, and students. Exceptional written and oral communication skills. Demonstrated adaptability to meet changing demands, including the ability to be flexible and available to leadership, faculty, and staff. Experience implementing, managing, and using student information and reporting systems. Demonstrated experience designing, implementing, and assessing large-scale, complex, institution-wide programs or projects.
