Associate Project Manager

Reports to:Director, Project Management Job Type:Full-time (on-site) Summary As an Associate Project Manager at Holt Experiential, you will support the planning, coordination, and delivery of experiential marketing projects, including trade show exhibits, corporate interiors, events, and digital interactives. Working under the direct guidance of a Project Manager, you will build the foundational skills needed to independently manage projects while assisting with client communication, budget tracking, and cross-functional coordination. Essential Duties and Responsibilities – other duties as assigned Project Coordination & Execution Project Planning Support: Assist in developing project plans, timelines, and resource schedules under the direction of a Project Manager. Help track milestones and flag scheduling conflicts. Client Communication Support: Support client communications by preparing status updates, tracking open action items, and helping manage day-to-day expectations under supervision. Assist with tracking post-sale quality issues with outside vendors (Return Authorizations, reproductions, etc.) and elevate as needed. Team Coordination: Coordinate with internal teams (design, engineering, production, service, sales, asset management, logistics, and accounting) on assigned tasks. Attend and take notes at project kickoff and status meetings. Assist in scheduling Service Department activities for client previews, exhibit shipment, installation, and dismantling. Budget Tracking: Help track project expenses against budget and flag variances to the supervising Project Manager. Risk Awareness: Learn to identify potential project risks and support the development of mitigation plans. Quality Support: Assist in quality reviews throughout the project lifecycle, helping implement improvements as directed. Structural & Technical Foundations: Begin building an aptitude for structural mechanics and the ability to read and interpret CAD drawings. Travel & Flexibility Limited travel (up to 20%) to national events and trade shows to assist with exhibit install and dismantle; some local/regional travel may be required for site surveys and installation support. Flexibility to work evenings, weekends, and additional hours as required to meet project deadlines and business objectives. Qualifications, Education, and/or Experience 0–2 years of relevant experience and/or training, or a degree in a related field (construction, event production, exhibits, hospitality, or business). Exposure to trade shows, experiential marketing, branded environments, construction, or event production is a plus, but not required. Proficiency in Microsoft Office and willingness to learn project management software and tools. Experience creating, processing, and tracking work orders in a production or service environment is a plus. Strong analytical, problem-solving, and organizational skills, with the ability to manage multiple projects and priorities simultaneously. Ability to work independently and within a team setting, with strong supervisory and leadership skills. Desire and aptitude to learn, lead, and offer new ideas, processes, and technologies. Knowledge of production processes and experience collaborating with internal stakeholders and external suppliers. Excellent troubleshooting, conflict resolution, and decision-making abilities. Strong communication and interpersonal skills, with the ability to build and maintain client relationships. Ability to stay organized and maintain effectiveness in a fast-paced, dynamic, and often high-pressure environment with shifting priorities. Language Skills Proficient in reading, writing, and understanding English. Capable of communicating effectively with management and co-workers. Skill in presenting information clearly and responding to questions from groups of managers, co-workers, and clients. Attend and contribute thoughts and/or solutions in project meetings Mathematical Skills Ability to calculate gross margin on quotes and formulate Excel reports Ability to apply concepts of basic mathematics and geometry. Reasoning Ability Ability to solve practical problems and address a variety of situations with limited standardization. Ability to interpret a variety of instructions in written, oral, diagram, or schedule form. Ability to manage multiple priorities efficiently while remaining composed under pressure.
