Recruiting Operations Coordinator

The Recruiting Operations Coordinator will deliver high-touch interview experiences for senior leadership and technical candidates while managing complex scheduling, travel, and stakeholder coordination. Partnering closely with recruiters, executives, hiring managers, and executive assistants, this role owns interview logistics from scheduling through completion, ensuring hiring processes maintain momentum even as calendars, priorities, and timelines change. This position is focused specifically on interview coordination and does not support onboarding activities. Responsibilities Manage end-to-end scheduling for executive and technical interviews, including panels, assessments, multi-day interview loops, and cross-functional sessions. Navigate complex executive calendars and resolve scheduling conflicts across stakeholders with competing priorities. Anticipate scheduling risks and proactively adjust plans to maintain hiring timelines. Coordinate candidate travel, including flights, hotels, ground transportation, and detailed itineraries. Manage candidate reimbursements and resolve travel-related expenses, cancellations, and changes. Deliver timely interview communications, materials, schedules, and logistical information to candidates and stakeholders. Serve as a primary point of contact for candidates throughout the interview process. Partner with recruiters, hiring managers, and executive assistants on interview strategy, priorities, and logistics. Maintain accurate interview and travel information within the Applicant Tracking System. Track scheduling SLAs, interview timelines, travel metrics, and recruiting operations data. Identify process improvements that increase scheduling efficiency and strengthen the candidate experience. Maintain discretion when supporting confidential and senior-level searches. Qualifications At least 2 years of recruiting coordination, executive scheduling, or complex calendar management experience. Experience managing high-volume, high-complexity scheduling across senior stakeholders. Experience coordinating executive panels, technical interviews, or multi-stage interview processes preferred. Experience coordinating candidate or corporate travel and reimbursements preferred. Experience with Applicant Tracking Systems; SAP SuccessFactors or similar platforms preferred. Proficiency with Microsoft Outlook and Microsoft Teams. Experience managing multiple concurrent, time-sensitive workflows and rapidly changing schedules. Ability to handle confidential candidate and executive information appropriately. Ability to work a hybrid schedule withfour days onsite each week. #J-18808-Ljbffr
