The Duct Logistics Coordinator / Customer Service Representative manages domestic customer orders from order entry through final delivery. This role works closely with Sales, Production, Shipping, transportation providers, and customers to coordinate orders, schedule deliveries, process RMAs, and provide timely updates to customers.

The ideal candidate is highly organized, able to manage multiple priorities, and experienced with domestic transportation, order coordination, scheduling, ERP systems, and customer service within a manufacturing or industrial environment.

Responsibilities may include:

• Manage customer orders from order entry through final delivery.
• Coordinate domestic transportation, deliveries, and shipment scheduling.
• Schedule and track customer orders to ensure on-time delivery.
• Coordinate shipments with domestic freight carriers, transportation providers, customers, and internal departments.
• Process and manage RMAs, returns, and related customer documentation.
• Monitor order and shipment schedules and provide customers with timely updates.
• Process customer orders, purchase orders, quotes, RMAs, and shipping information within an ERP system.
• Support Sales and other internal departments with customer orders, quotes, and documentation.
• Resolve customer inquiries, order issues, delivery concerns, and returns while maintaining excellent customer service.
• Maintain accurate records and documentation throughout each order.
• Communicate with Production and Shipping regarding order status, scheduling, and customer requirements.
• Perform other duties as assigned.

Nature and scope:

• Manages multiple customer orders and transportation schedules with minimal supervision.
• Coordinates with customers and cross-functional teams to ensure accurate and on-time deliveries.
• Uses sound judgment to resolve customer, scheduling, transportation, and order issues.
• Must be able to work effectively under pressure in a fast-paced manufacturing environment.

Knowledge and skills:

• Knowledge of domestic transportation, shipping, and logistics.
• Experience coordinating with domestic freight carriers and transportation providers.
• Experience coordinating and scheduling customer deliveries.
• Experience processing RMAs, returns, and customer orders.
• ERP system experience.
• Strong Microsoft Office skills, especially Excel.
• Excellent communication, organization, and multitasking abilities.
• High attention to detail and strong problem-solving skills.
• Ability to work effectively under pressure and manage changing priorities.

Required skills:

• 3+ years of Customer Service experience in a manufacturing or industrial environment.
• Experience with domestic transportation, shipping, and delivery coordination.
• Experience coordinating with domestic freight carriers and transportation providers.
• Experience scheduling customer orders and deliveries.
• Experience processing RMAs and returns.
• ERP system experience.
• Experience supporting Sales with customer orders and quotes.
• Strong Excel and Microsoft Office skills.
• Ability to manage multiple orders and priorities in a fast-paced environment.
• Strong customer communication and problem-solving skills.

Preferred skills:

• SAP experience.
• Experience working directly with Production and Shipping departments.
• Duct, HVAC, or related manufacturing industry experience.
