Talent Acquisition Coordinator

Schedule: Must be able to work hours aligned with the Pacific Time Zone Employment Type: Contract Contract Length: Minimum 3–4 months with potential for an open-ended extension Anticipated Start Date: November 2nd, 2026 Position Overview Calculated Hire is seeking a Talent Acquisition Coordinator to support the Talent Acquisition team of one of our insurance clients. This position will be primarily responsible for high-volume interview scheduling and recruiting coordination, while also supporting I-9 verification, pre-employment activities, and new-hire onboarding. The ideal candidate is highly organized, detail-oriented, responsive, and comfortable coordinating across multiple candidates, recruiters, hiring managers, and HR stakeholders. The role is fully remote; however, candidates must be able to work a schedule that supports Pacific Time Zone business hours . Responsibilities Coordinate and schedule phone screens, interviews, assessments, and other recruiting-related meetings between candidates, recruiters, hiring managers, and HR partners. Manage a high volume of interview scheduling while maintaining timely communication and a positive candidate experience. Coordinate and conduct Form I-9 verification and employment eligibility document validation, ensuring documentation is completed accurately and in accordance with applicable requirements. Support pre-employment screening activities, including background checks, employment verification, reference checks, and other required screenings. Assist with new-hire onboarding, including initiating onboarding activities, distributing documentation, tracking completion of required paperwork, and helping ensure candidates are prepared for their start dates. Maintain accurate candidate, interview, and hiring information within iCIMS and other Talent Acquisition systems. Provide timely follow-up to candidates, recruiters, hiring managers, and HR partners regarding interview logistics, outstanding documentation, and next steps. Maintain organized recruiting records, shared documentation, and Talent Acquisition resources. Provide additional recruiting coordination and administrative support as needed. Required Qualifications 1–2+ years of experience in Talent Acquisition coordination, Recruiting coordination, Human Resources support, or a similar scheduling-intensive environment. Hands-on experience conducting I-9 verification and employment eligibility document validation . Demonstrated experience coordinating and scheduling interviews across multiple calendars and stakeholders. Experience supporting pre-employment screening and/or onboarding processes. Previous experience working within an Applicant Tracking System. Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously. Excellent written and verbal communication skills. Strong attention to detail, follow-up, and customer service skills. Ability to work independently and effectively in a remote environment. Proficiency with Microsoft Office 365, including Outlook, Teams, Word, and Excel. Preferred Qualifications Previous experience with iCIMS . Experience supporting a high-volume Talent Acquisition or recruiting organization. Experience coordinating a significant volume of interviews or scheduling activities on a daily basis.
