Job Summary: This role is foundational to the integrity of the organization's financial records and ensures compliance with generally accepted accounting principles (GAAP), nonprofit accounting standards, grant requirements, and internal policies and procedures. It supports daily and month-end accounting operations of the organization through accurate transaction processing, reconciliations, journal entries, and financial support activities.

The Staff Accountant functions as a cross-trained member of the Accounting Department and provides essential operational and analytical support to leadership, program teams, and external stakeholders.

Key Responsibilities:

General Ledger & Month-End Close

- Prepare, review, and post journal entries, including accruals, allocations, reversals, and adjusting entries.

- Perform monthly reconciliations of assigned balance sheet and income statement accounts and resolve variances in a timely manner.

- Support the monthly close process by meeting established deadlines and maintaining complete, well-organized supporting documentation.

- Assist with preparation of financial statements, schedules, and variance explanations as delegated by the Director of Finance.

Accounts Payable, Receivable & Cash

- Review and process accounts payable transactions for proper authorization, coding, and compliance with organizational policy.

- Assist with accounts receivable activities, including posting deposits, reconciling receivables, and researching discrepancies.

- Perform or support bank and cash account reconciliations, including operating and payroll accounts.

- Maintain schedules related to prepaid expenses, accruals, and other recurring accounting items.

Grant & Restricted Fund Accounting

- Track revenues and expenses for grants, contracts, and restricted funds in accordance with grant agreements and donor restrictions.

- Assist with grant billing, reimbursement requests, and financial reporting to funders.

- Monitor budget-to-actual performance for grants and communicate variances to supervisors and program leadership.

- Maintain organized grant documentation to support audits, monitoring, and compliance reviews.

Fixed Assets & Specialized Accounting

- Maintain fixed asset records, including additions, disposals, depreciation schedules, and reconciliations.

- Assist with accounting for restricted contributions, releases from restriction, and designated funds.

- Support annual unclaimed property and other statutory financial reporting requirements, as applicable.

Audit, Compliance & Controls

- Assist with preparation of audits, schedules, and supporting documentation for annual audits and reviews.

- Adhere to internal controls, accounting policies, and documentation standards to safeguard organizational assets.

- Support compliance with nonprofit, healthcare, and grant-related financial regulations.

Operational & Cross-Functional Support

- Collaborate with program directors, managers, and administrative staff to answer accounting questions and support operational needs.

- Provide backup coverage for key accounting functions through cross-training.

- Participate in process improvement initiatives to enhance efficiency, accuracy, and documentation within the Accounting Department.

Qualifications:

Required

- Bachelor's degree in Accounting, Finance, or a related field.

- 1-3 years of accounting experience; nonprofit or healthcare experience preferred.

- Working knowledge of GAAP and fundamental accounting principles.

- Microsoft Office 365 skills (Including Excel, Teams & Copilot)


- Staying compliant on all trainings and immunizations


- Ability to pass Level II DCF Mental Health Fingerprinting (General Information can be found HERE ) , Drug Screen and Local Criminal Check


Preferred

- Experience with grant accounting and restricted fund management.

- Experience in a nonprofit behavioral health or healthcare environment.

- Advanced Excel skills and familiarity with financial reporting tools.

Physical Requirements: This position requires a mix of physical activities throughout the workday. Duties involve periods of standing, sitting, and walking, often across various areas of the site. The role also includes tasks that may require bending, reaching, and other physical movements. Candidates must be able to occasionally lift and carry items weighing up to 50 pounds. A reasonable level of physical stamina and mobility is necessary to successfully perform the essential functions of this role.
