Operations Assistant

Our client, a growing wealth management firm in St. Joe, is seeking a person who thrives at being in the middle of the action and enjoys coordinating where everyone needs to be and when they need to be there! The ideal candidate needs to be a highly-organized and proactive assistant who will stay one step ahead of the advisors. This person will have a key role in setting their advisors and the company up for success. Responsibilities will include helping coordinate their advisors’ days, keeping tasks organized, and preparing and processing paperwork to keep their advisors where they belong: serving the clients. They are a team who loves working together and lives out their core values of putting clients first, providing unreasonable service, adapting and always acting with integrity.

About the Role:

This position will work directly with advisors to schedule appointments, handle client paperwork, and serve as a liaison between clients and their advisor.

Responsibilities & Activities:

Please don’t worry if you don’t recognize some of these tasks; they will train you! What they can’t train is personality, work ethic, and a true desire to serve.

  • Calendar Management: Proactively manage the advisor's calendar, including scheduling and prioritizing appointments, meetings, and travel arrangements.
  • Client Paperwork Processing: Processes new accounts, transfers, beneficiary updates, cashiering, and other paperwork completion and submission.
  • Client Service: Responds to client inquiries, research questions and resolve problems.
  • Administrative Support: Provide general administrative support, including answering phones, data entry, and office organization.
  • Project Management: Assist in the planning and execution of special projects, ensuring deadlines are met and objectives are achieved.

  • A strong focus on getting the details right
  • Excellent organizational and time management skills, not just for self but also to help the advisors
  • An ability to handle multiple tasks with tight time frames
  • Strong, verbal, written, and interpersonal communication skills
  • High level of professionalism and discretion.
  • Adaptable to changing priorities and able to work under pressure.
