Responsibilities - What you'll do
- Perform administrative duties for the Division of Energy with a focus on the Weatherization Program. Duties include, but are not limited to, maintaining calendars, registering team members for training, finalizing letters, processing expense reports, and assisting team members with travel arrangements.
- Prepare and maintain Weatherization program templates.
- Prepare invoices for payment, process agency reimbursements in the state financial system, procure supplies and equipment, and process purchasing card statements.
- Schedule and plan the annual weatherization training. This includes, but is not limited to, working with the Community Action Agencies and the Weatherization Program Manager to book a venue, meals, and a hotel block for training attendees.
- Set up audio visual equipment for Division meetings.
- Answer and respond to inquiries (phone, in-person, and written) in a professional, accurate, and timely manner in accordance with agency and/or office policy and procedure. Ensure phone calls are transferred to the appropriate number, office, division, department, etc. for resolution.
- Maintain the Division of Energy inbox and distribute emails to the correct team members for response.
- Assist with special projects, establish and maintain complex filing systems, prepare records for storage and/or archiving, and maintain correspondence and report files.
- Establish and maintain Standard Operating Procedures.
- Serve as the Missouri Weatherization Policy Advisory Council secretary.

- Federal Funds Processing: Knowledge of methods and procedures for processing direct and reimbursable program funds (for example, automatic and funded reimbursements, interagency agreements, transfer appropriations), grants, loans, and credit programs.
- Interpersonal Skills: Shows understanding, friendliness, courtesy, tact, empathy, concern, and politeness to others; develops and maintains effective relationships with others; may include effectively dealing with individuals who are difficult, hostile, or distressed; relates well to people from varied backgrounds and different situations; is sensitive to cultural diversity, race, gender, disabilities, and other individual differences.
- Four to six years of relevant experience.

- Support for professional registrations when required, through paid study materials, fees, study time, test time, exam fees, and licensure renewal fees.
