Club Director-West Club

Primary Function

The Senior Club Director leads the daily operations and performance of assigned Boys & Girls Clubs of Dayton site. This senior site leadership role is accountable for youth safety, strong Club experience, staff performance, membership growth, family trust, accurate records, and responsible use of resources. The Director puts BGCD program standards into practice, identifies problems early, and brings clear recommendations to the Director of Operations.

• Lead opening and closing, staffing coverage, active supervision, group transitions, transportation coordination, meals, facility readiness, and emergency response in accordance with BGCD policy.
• Ensure consistent delivery of the five program pillars: Health and Well Being, Academic Readiness, Character and Leadership, Life and Workforce Readiness, and STEAM. Oversee purposeful rotations, lesson preparation, youth voice, and quality improvement.

Community Health & Family Engagement

• Build a physically and emotionally safe, welcoming Club environment. Use trauma informed and developmentally appropriate approaches to youth relationships and behavior support.
• Serve as the primary site contact for caregivers. Lead routine family communication, caregiver meetings, restorative responses, documented behavior interventions, and timely resolution of concerns within policy.
• Own site enrollment, average daily attendance, retention, and reengagement plans. Coordinate weekly recruitment actions with staff, schools, caregivers, and neighborhood partners; review the pipeline and adapt the plan using verified data.

Leadership and Supervision

• Supervise, coach, schedule, and evaluate assigned Success Coaches, the Membership Intake Coordinator, and other assigned site staff. Set expectations, observe practice, lead regular team meetings, document feedback, and build reliable coverage.
• Approve direct report schedules, time records, and leave within policy and coverage requirements. Recommend staffing, hiring, and formal personnel actions through the Director of Operations and the established approval process.
• Approve site schedules, staff assignments, Success Coach lesson plans, routine caregiver communications, and ordinary member behavior responses within policy. Escalate prolonged exclusions, serious incidents, staffing vacancies, and unresolved disputes.
• Participate in leadership planning and cross site initiatives. Maintain a written follow through process that identifies open issues, owners, deadlines, decisions needed, and resolution.

Strategic Partnerships

• Develop and maintain site level relationships with schools, neighborhood organizations, and community agencies that strengthen recruitment, youth experiences, family engagement, and program opportunities.
• Coordinate proposed activities and partner commitments with the Director of Operations and relevant BGCD leaders. Do not sign contracts or create financial or organizational obligations without delegated approval.
• Direct day to day assignments and supervision of site volunteers only after the Business Manager confirms required screening and clearance.

Compliance, Evaluation & Reporting

• Carry out BGCD youth protection, safety, emergency, member supervision, meal program, confidentiality, and incident documentation requirements. Initiate immediate protective action and required reporting for child protection concerns, missing youth, injury, threats, or serious incidents.
• Use YPQI and BGCD continuous improvement practices to observe program delivery, coach staff, address gaps, and document corrective actions.
• Ensure accurate membership, attendance, activity, incident, meal program, and outcome records in approved systems. Review data quality and provide timely site dashboards, reports, and supporting evidence to the Director of Operations.
• Escalate serious safety matters, law enforcement involvement, potential closures, material compliance concerns, and unresolved operational risks through BGCD protocols.

Financial Management

• Manage the approved site budget, staffing coverage, supplies, equipment, and facility needs. Monitor spending and report emerging financial or operational risks.
• Approve a single item purchase of $250 or less only within the approved budget and purchasing procedures. Obtain Director of Operations approval before any single item purchase over $250.
• Approve every financial purchase requested by a Success Coach or the Membership Intake Coordinator before the purchase is made. Coordinate documentation and processing with the Business Manager.
• Refer unbudgeted expenses, contracts, financial commitments, and policy exceptions for required higher approval. The President and CEO retains final staff level authority over contracts and exceptions.

Collaboration

• Work with the Education Coordinator on academic standards and interventions; the Education Coordinator provides functional academic guidance and does not report to the Club Director.
• Coordinate with the Director of Life and Workforce Readiness, other site and program leaders, Resource Development staff, and the Business Manager on shared programming, data, family needs, volunteers, and organizational events.

Relationships

• Internal: Maintain effective working relationships with assigned staff, the Director of Operations, program and functional leaders, the Business Manager, and the President and CEO.
• External: Represent BGCD professionally with Club members, caregivers, schools, community partners, and volunteers, while referring sensitive public communications to authorized leadership.

Education Requirement

Bachelor’s degree in youth development, education, nonprofit management, or a related field preferred. Comparable relevant leadership experience will be considered.

Skills/Knowledge Required

• At least five years of progressive experience in youth programs or site operations, including substantial staff supervision and accountability for program outcomes, preferred.
• Demonstrated ability to lead teams, improve attendance and program quality, manage competing priorities, communicate effectively with families, interpret data, and make sound decisions under pressure.
• Knowledge of youth safety, trauma informed practice, programming quality improvement, culturally responsive family engagement, and continuous improvement. Boys & Girls Club experience is valued.
• Ability to complete required background screening and maintain BGCD required CPR, First Aid, child protection, and other role specific training.
• Ability to work in active youth programs, office, school, and community settings; regularly walk and stand; respond to program and emergency needs; use standard technology; and travel locally. Reasonable accommodation may be provided for qualified individuals.
