Lab Administrator

Position Summary

The Lab Administrator is responsible for coordinating day-to-day laboratory operations, including sample submission, purchasing, and inventory management. This role ensures efficient workflow across all functional areas—receiving and routing client samples, maintaining accurate inventory, procuring materials and supplies, and supporting overall laboratory compliance and organization. The Lab Administrator serves as the central point of contact between internal teams, clients, and vendors, ensuring timely processing, cost-effective procurement, and adherence to Standard Operating Procedures (SOPs), cGMP, and regulatory requirements.

What You Will Do

• Receive, log, label, and route client samples in compliance with SOPs and chain-of-custody requirements.
• Maintain accurate records in the laboratory tracking system and ensure timely release of samples to appropriate departments.
• Communicate effectively with clients and internal staff regarding sample status, inquiries, and documentation.
• Maintain a clean, organized, and safe sample submission area; ensure proper disposal of samples per laboratory protocols.
• Perform administrative tasks such as mail distribution, filing, supply organization, and assisting with reports or special projects.
• Manage the procurement of goods and services following company policies and budget guidelines.
• Collaborate with internal stakeholders to identify material needs and ensure timely purchasing and delivery.
• Maintain vendor relationships, evaluate supplier performance, and negotiate terms to achieve cost-effective sourcing.
• Support vendor qualification and supplier management in accordance with quality and regulatory requirements.
• Maintain ERP or purchasing system data for suppliers, products, and materials; generate purchase orders and monitor order status.
• Maintain accurate inventory control, including receiving, labeling, storing, and issuing materials to laboratory or production areas.
• Conduct cycle counts, reconcile discrepancies, and prepare reports with corrective actions as needed.
• Monitor material usage and reorder points to maintain appropriate stock levels and prevent shortages or overages.
• Oversee receiving accuracy, coordinate returns to suppliers, and ensure proper documentation of all transactions.
• Maintain compliance with cGMP, OSHA, and FDA standards in all warehouse and material handling activities.
• Ensure proper waste management and documentation of obsolete or damaged items.
• Collaborate with Quality Assurance, Supply Chain, and Laboratory teams to ensure material readiness and workflow efficiency.
• Support planning and scheduling of materials and supplies to meet production and testing demands.

Who You Are

• High school diploma or equivalent; Associate’s degree preferred.
• 3+ years of experience in laboratory operations, inventory control, or purchasing in a regulated environment.
• Strong organizational and multitasking skills with attention to detail and accuracy.
• Effective written and verbal communication skills.
• Proficiency with ERP or LIMS systems and Microsoft Office Suite.
• Knowledge of cGMP, USP, ISO 17025, and FDA regulatory requirements.
• This position requires standing, sitting, or performing repetitive tasks for extended periods.
• Must be able to lift up to 50 lbs occasionally.
• Standard business hours with occasional flexibility for sample intake or supplier coordination.
