Business Manager - The Addy/Museum Place

This position supports and assists the Community Manager in overseeing the financial and operational aspects of an apartment community. Key tasks include accounting, bookkeeping, financial reporting, rent collection, vendor invoice processing, cash management, and resident banking activities. Responsibilities Complete daily financial transactions, including rent, fees, and other payments; prepare bank deposits, reconcile bank accounts, generate financial reports, and process invoices and payables. Operate the property management software (Yardi/OneSite) accurately, update records, and perform system backups to maintain data integrity. Review resident files and accounting records for unpaid or late fees, communicate with residents about outstanding balances, and enforce lease terms to maximize revenue. Review and submit vendor, contractor, and service provider invoices; reconcile work performed, obtain community manager approval, code charges to appropriate Chart of Accounts, and manage communication between stakeholders. Follow the company’s eviction procedures, including proper notice, execution of evictions, and representation in court hearings as required. Process resident move‑outs by reviewing lease terms, applying deposits and cancellation fees, and closing dispositions per legal requirements. Promote resident satisfaction and retention by responding to complaints, questions, and service requests promptly and resolving issues effectively. Act as on‑site supervisor in the absence of the community manager, organizing daily work, coordinating maintenance and make‑ready tasks, and ensuring compliance with company policies. Assist in managing the client/owner relationship by meeting owners, conducting community tours, providing performance updates, and responding to owner requests. Support leasing and marketing efforts by greeting prospective residents, gathering prospect data via Guest Card, showing apartments, collecting lease deposits, and assisting with rental applications and credit verification. For California only: review all completed move‑in files before submission to the Community Manager for review and approval. Basic Knowledge & Qualifications Bachelor’s degree in Business Management, Communications, or a related field from an accredited college or university. 1–3 years of relevant experience in residence life and/or property management demonstrating community management, sales, marketing, and customer service skills. Understanding of lease terms and lease enforcement, including collections procedures. Excellent written and verbal communication skills. Detail‑oriented, self‑motivated, and capable of working independently and collaboratively. Specialized Skills Must hold all licenses and/or certifications required by state and local jurisdictions. Valid driver’s license to operate a golf cart on property. Proficiency in internet use, word processing, spreadsheets, and database management. Strong proficiency in property management software (Yardi, OneSite, Entrata, etc.). Travel / Physical Demands Work primarily in an office but may have exposure to outdoor environments, temperature, weather, odors, and landscape hazards. Must be able to physically access all exterior and interior parts of the property and amenities. Ability to push, pull, lift, carry, or maneuver weights up to 20 pounds independently and 50 pounds with assistance. Routine local travel for bank deposits, training classes, or other routine duties. Rare or occasional travel for business meetings or training programs. Compensation Hourly range: $25.00 – $27.00. In addition to base pay, eligible for quarterly or annual bonus programs based on individual and company performance. Benefits Competitive medical, dental, vision, disability, and life insurance.
