Human Resources Coordinator

Michael Best is seeking a Human Resources Coordinator to support the candidate-to-new-hire transition across the Firm, including drafting offer letters, coordinating onboarding steps, entering and maintaining accurate new hire information in the HRIS, and submitting IT onboarding tickets. This role helps ensure a consistent, accurate, and professional experience for candidates, new hires, recruiters, hiring teams, and internal stakeholders across both timekeeper and non-timekeeper roles. What You'll Be Doing Offer letter coordination: Draft, review, route, and finalize offer letters for timekeeper and non-timekeeper roles using approved templates and established approval processes. Candidate onboarding: Coordinate onboarding steps after offer acceptance, including accurate entry of new hire information into the HRIS and completion of required onboarding tasks. IT onboarding requests: Submit timely and accurate IT onboarding tickets to support equipment, access, account setup, and other technology needs for incoming employees. Recruiting team support: Serve as a reliable connection point for the recruiting team by tracking candidate status, coordinating handoffs, and ensuring required information is complete and current. Data accuracy and documentation: Maintain accurate candidate and new hire records, identify missing or inconsistent information, and follow up promptly to resolve gaps before start dates. Communication and stakeholder coordination: Communicate professionally with candidates, recruiters, HR colleagues, hiring teams, and cross-functional partners to support a smooth preboarding and onboarding experience. Process improvement: Help identify opportunities to improve offer letter, onboarding, HRIS, and IT ticket workflows to increase accuracy, consistency, and efficiency. Knowledge Base & Education Bachelor’s degree preferred; equivalent combination of education and relevant experience may be considered 1–3 years of experience in human resources, recruiting coordination, onboarding, administrative support, or a related professional services environment preferred Experience preparing offer letters, onboarding documents, or other employment-related correspondence preferred Experience entering, reviewing, or maintaining employee or candidate information in an HRIS, applicant tracking system, or similar business system Demonstrated ability to manage confidential information with discretion and professionalism Ability to communicate clearly and professionally with candidates, recruiters, HR team members, hiring teams, and internal service partners Exceptional attention to detail, accuracy, and follow-through Strong organizational skills with the ability to manage multiple candidates, deadlines, and onboarding steps at the same time Process discipline and ability to follow approved templates, workflows, and approval requirements consistently Sound judgment, including knowing when to ask questions, elevate issues, or confirm details before proceeding Collaborative approach and ability to build credibility with recruiters, HR colleagues, hiring teams, and internal service partners Comfort operating in a fast-paced, professional environment with changing priorities and time-sensitive hiring needs Required: Use approved AI-enabled tools responsibly and effectively to improve quality, efficiency, and decision-making, consistent with organizational policies, confidentiality, and applicable laws.
