Position Overview
The Mailroom Specialist is responsible for handling incoming and outgoing mail, faxes, shipping and receiving activities, document processing, and general office support functions. This role requires frequent sitting, standing, and walking throughout the shift, along with occasional lifting of up to 50 lbs. with assistance.
Candidates must be able to speak, read, and write fluently in English and possess basic computer proficiency.

Key Responsibilities

• Sort, distribute, and process incoming and outgoing mail and faxes
• Apply appropriate postage to outgoing mail
• Deliver completed jobs to designated customer locations
• Distribute office supplies, fax transmissions, and mail to employees and designated drop-off points
• Perform shipping, receiving, and dock-related duties
• Process incoming and outgoing materials
• Operate high-volume production copiers and duplicating equipment
• Perform copying, scanning, imaging, binding, and finishing services
• Conduct quality control checks on completed work
• Operate bindery equipment, paper cutters, hole drills, joggers, stackers, electric staplers, and related equipment
• Fold and insert documents into envelopes
• Conduct daily inspections of convenience copiers
• Clear paper jams and troubleshoot basic equipment issues
• Escalate technical issues to service technicians as needed
• Replenish toner and paper supplies
• Maintain copier areas in a clean, organized, and fully stocked condition
• Respond to customer inquiries regarding job requests and status updates
• Coordinate and manage service requests
• Maintain job logs, service logs, meter readings, and inventory records
• Calculate charges for completed jobs and generate reports as required
• Support document filing, archiving, and records management
• Perform temporary or occasional receptionist duties when needed
• Assist with meeting room and conference room setups
• Support office moves within assigned facilities
• Perform light maintenance and housekeeping tasks
• Travel between customer buildings when required
• Maintain accurate management reports and supply inventories
• Capture and maintain required client data, job logs, and operational metrics
• Understand and support Client Services Portfolio and Technology requirements
• Perform other duties as assigned
• Frequent sitting, standing, and walking
• Ability to perform repetitive mailroom and document-processing tasks
• Ability to work overtime as needed, including evenings, weekends, and emergency response situations
