Assistant Property Manager

Reporting to the Regional Director of Property Management, the Assistant Property Manager will help manage the day-to-day operations and management of a portfolio of retail shopping centers. During the initial training period, the role will work closely with the Regional Director and is expected to take on increasing ownership, becoming capable of independently managing assigned properties. This role is ideal for a motivated individual seeking to build hands‑on property management experience and gain exposure to budgeting, vendor coordination, tenant relations, and property inspections. The successful candidate will demonstrate sound discretion, initiative, strong communication and outreach skills, organization, and an eagerness to learn and contribute to the success of the assigned assets. Responsibilities Conduct regular property inspections and report findings to the Regional Director. Assume increasing responsibility for assigned properties, and independently manage less complex properties within the region under the Regional Director’s oversight. Exercise independent judgment in property operations, prioritize and resolve operational issues, and recommend operational and financial actions while keeping the Regional Director informed and obtaining required approvals. Act as the primary day‑to‑day contact for assigned assets, coordinating with tenants, vendors, and internal partners. Participate in the preparation and administration of annual operating budgets and capital improvement plans. Support vendor management including obtaining proposals, coordinating services, and monitoring performance. Maintain accurate records of property operations, service contracts, and tenant communications. Respond to tenant inquiries and service requests in a timely and professional manner. Evaluate property issues, develop recommendations, and make timely day‑to‑day decisions within the scope of the role, while keeping the Regional Director informed and obtaining required approvals. Monitor compliance with lease terms, property rules, and local regulations. Help manage tenant move‑ins, move‑outs, and coordination of landlord work. Support the execution of ESG initiatives and sustainability programs at the property level. Prepare RFPs, purchase orders, and track project progress and expenses. Collaborate with internal departments including Leasing, Construction, and Accounting. Participate in resolving tenant and vendor disputes under the guidance of the Regional Director. Ensure properties are maintained to company standards for cleanliness, safety, and presentation. Support snow removal operations and seasonal maintenance planning. Provide occasional support outside of typical business hours to respond to urgent property matters, including water pipe bursts, leaks, snow removal, and other time‑sensitive incidents. Qualifications High School diploma required; Associate or Bachelor’s degree preferred. 1-3 years of experience in property management, property management administration/coordination, facilities management, operations, or related field. Basic understanding of building systems, maintenance, and vendor coordination. Exposure of retail or commercial real estate preferred. Valid Driver’s License required. Knowledge, Skills, and Abilities Working Knowledge of Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint preferred. Familiarity with Property Management software preferred. Strong skills in written, verbal, and interpersonal communication. Strong organizational and time management skills to manage multiple tasks and prioritize effectively. Strong openness to learning, with the ability to absorb feedback, build property management knowledge, and take on progressively greater responsibility. Ability to communicate proactively and confidently with tenants, vendors, and internal partners, including initiating outreach and engaging directly when circumstances require. Ability to be sensitive to problems to anticipate and identify potential issues or challenges. Ability to be detail oriented, take a proactive approach to problem‑solving, and be committed to high ethical standards. Ability to exercise sound judgment and discretion, make practical recommendations, and recognize when decisions or actions require approval. Ability to work independently and as part of a team.
