Position Overview

We are seeking a TEMP Patient Care Coordinator to support clinical research activities within the Eunice Kennedy Shriver National Institute of Child Health and Human Development (NICHD).

This position will serve as a primary point of contact for research participants and will coordinate patient scheduling, referrals, travel, admissions, clinical appointments, and other administrative activities associated with NICHD research protocols.

The Patient Care Coordinator will work closely with investigators, physicians, nurses, clinical research coordinators, patients, families, and other clinical staff to ensure participants receive timely and coordinated support throughout their involvement in research studies.

• Coordinate the recruitment, scheduling, travel, lodging, and admission of research study participants.

• Serve as a primary point of contact for patients participating in clinical research studies.

• Coordinate patient schedules with physicians, nurses, investigators, clinical research coordinators, testing personnel, and outpatient clinic staff.

• Schedule new patient screening appointments, procedures, imaging studies, outpatient visits, and inpatient admissions.

• Maintain calendars and shared calendars for clinical staff and research activities.

• Maintain the Reproductive Endocrinology patient calendar, including incoming and departing patients, clinic support, and pre- and post-examination coordination.

• Send appointment reminders and follow up with patients regarding scheduled visits.

• Coordinate patient travel and lodging and maintain related travel documentation.

• Assist with chart preparation for surgeries and post-operative admissions.

• Request interpreter services for returning patients when needed.

• Support clinical studies involving subject enrollment, longitudinal monitoring, study data, sample collection, consent-related coordination, and data entry.

• Maintain ongoing communication with patients, families, caregivers, healthcare providers, investigators, and research staff.

• Respond to patient phone calls and emails and appropriately prioritize urgent, emergent, and routine issues.

• Triage patient questions and concerns to the appropriate clinical or research team member.

• Explain relevant study policies and procedures to research participants.

• Serve as a point of contact for patient questions regarding research protocols.

• Communicate protocol information to patients within the context of applicable eligibility requirements.

• Prepare correspondence requiring an understanding of clinical or technical program information.

• Review incoming patient referrals and ensure required information is complete.

• Contact referring physicians' offices when additional documentation is needed.

• Coordinate referral materials and submissions with appropriate clinical staff.

• Refer prospective study volunteers to appropriate Institute personnel in accordance with study guidelines.

• Maintain clinical information within protocol databases.

• Create and format spreadsheets used to organize and analyze information.

• Support the conversion and organization of paper records into electronic files.

• Maintain participant confidentiality and support the safety and privacy of research participants.

• Maintain office and clinical research records.

• Assist with procurement and reimbursement-related processes.

• Coordinate meetings, appointments, conference rooms, workshops, and other scheduling needs.

• Prepare and maintain reports, forms, memoranda, mailings, spreadsheets, and administrative databases associated with clinical research operations.

Education

• Associate's degree required.

• Bachelor's degree in a related discipline preferred.

• Preferred field of study: Health and Medical Administrative Services.

Experience

• Minimum of 4 years of related experience.

Skills

• Strong written and verbal communication skills.

• Strong patient-facing and customer-service abilities.

• Ability to coordinate multiple schedules, priorities, and clinical activities simultaneously.

• Strong organizational skills and attention to detail.

• Ability to work effectively with physicians, investigators, clinical staff, patients, and families.

• Proficiency with Microsoft Office Suite, including spreadsheet and calendar management.

PLEASE NOTE: This position is a TEMP position needed from October 2026 to March 2027. 

This position is based at the NIH Clinical Center in Bethesda, Maryland and is scheduled Monday through Friday for approximately 40 hours per week. Telework eligible.

This role has a market-competitive salary with an anticipated base compensation range listed below. Actual salaries will vary depending on a candidate's experience, qualifications, skills, and location.
