PT Office Assistant IIPosition Title - PT Office Assistant IIContract Length - N/AClass Summary - Responsible for providing a variety of administrative support duties to ensure the success of planning, organizing, and executing the operations of day-to-day program services of Upward Bound.Position Type - Non-Exempt StaffEmployment Status - Part TimePosition Funding Type - GrantMinimum Education/Training/Experience - Associate Degree in Business Administration or similar degree, certificate, or equivalent experience, including a minimum of two years of applicable experience.Preferred Education/Training/Experience - TRiO background and/or experienceMinimum Knowledge & Skills - Detail oriented in record keeping practices Application of regulations, policies, and procedures Highly organized Knowledge of secondary and postsecondary education settings Ability to multi-task, prioritize, and meet deadlines Budget management Computer applications involving the design and management of databases and spreadsheets for the development and submission of special reports Operation of standard office equipment Strong oral and written communication Foster a cooperative and collaborative work environmentPreferred Knowledge & Skills - Bilingual in Spanish Event / Activity planningJob Duties - Performs specialized administrative support to the Director related to the planning, organizing, and coordinating of program activities and travel Assists Director and/or other departmental staff in accounting for program funds, performance standards, as well as preparing financial requisitions, and general office support. Enters, reviews, and retrieves data and prepares reports, using computer software. Handle confidential information appropriately and exercise care in safeguarding information. Serves as a liaison between students, staff, the community, and the College in relation to the program and its activities. Ability to identify students' needs prior to directing them to the appropriate faculty or staff member. Willingness to help students enjoy their interactions with the College and its employees. Arranges meetings and appointments by securing and reserving rooms with notifications and courtesy reminders; secure meal and lodging reservations and deposits.
